Overview
We are currently seeking a friendly and organised individual to join our team as an experienced Medical Secretary. In this role, you will be responsible for undertaking a wide range of secretarial and administrative duties and providing administrative support to the multidisciplinary team.
Duties
- Process information (electronic and hard copy) in a timely manner.
- Liaise with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies.
- Support the administration and receptionist teams with patient registration and booking appointments.
- Answer incoming telephone calls promptly and courteously, directing inquiries to the appropriate staff members or departments.
- Respond to patient queries and provide information about services, opening hours and other relevant information.
- Type letters, reports and associated documentation as required.
- Process referrals using the electronic referral system (ERS).
- Scan patient‑related documentation and attach scanned documents to patients’ healthcare records.
- Process requests for information (e.g., SAR, insurance/solicitor’s letters, DVLA forms).
- Assist with general administrative tasks.
- Adhere to practice policies and procedures, including those related to patient confidentiality and data protection.
Essential Criteria
- Proven experience as a medical secretary.
- Excellent customer service skills and the ability to put the needs of patients first.
- Strong organisational skills and attention to detail, with the ability to multitask and prioritise tasks efficiently.
- Knowledge of medical terminology to accurately type out medical reports and other documents.
- Flexibility to adapt to changing priorities and work in a fast‑paced environment.
Desirable Criteria
- GCSEs in English and Maths.
- Previous experience of working in a healthcare setting.
- Strong IT skills (EMIS and Office).
