Patient Services Coordinator

Join Medical Imaging Partnership as a Patient Services Coordinator and play a vital role in ensuring rapid access to our diagnostic and outpatient facilities.

Position Overview

In this role you will rotate between patient‑facing front‑of‑house duties and back‑office functions, delivering the highest quality patient care at every touchpoint.

Key Responsibilities

  • Act as the first point of contact for all patient enquiries.
  • Verify new referrals against departmental guidelines and initiate the vetting process.
  • Schedule outpatient appointments based on clinical urgency, wait times and Prime policies, escalating exceptions as required.
  • Communicate convenient appointment dates and times to patients, including urgent referrals.
  • Remind patients of upcoming appointments and ensure they receive notifications or acknowledgements.
  • Provide courteous, efficient reception both face‑to‑face and over the phone.
  • Accommodate individual patient needs, including interpreting support where necessary.
  • Deliver a welcoming reception experience and inform patients and visitors of relevant messages.
  • Coordinate with medical, nursing and allied health staff to optimise clinic utilisation.
  • Respond to patient queries professionally, escalating appropriately to the line manager and assisting where further investigation is required.
  • Maintain up‑to‑date knowledge of service rules and protocols to utilise clinical capacity effectively.
  • Review cancelled or “on hold” appointments with the team and enact appropriate actions.
  • Understand scheduling and administrative procedures across all modalities and contracts.
  • Respond to telephone, email or written queries within the required timeframe, escalating when necessary.
  • Record patient cancellations, changes and manual uploads of referrals in Prime and external systems.
  • Forward clinical reports and critical findings to referrers promptly.
