The Office Administrator role at Media Arts Lab is a fun and exciting opportunity to work within a friendly and creative office. The Office Administrator will be reporting into the Office Manager and part of the wider Office Services team. We are looking for someone who has a friendly demeanour, strong organisational skills, hands on and has an eagerness to assist colleagues and visitors, as well as ensuring the reception runs smoothly and effectively.
The Work:
- Manage reception welcoming staff, clients and visitors while ensuring security protocols are met.
- Answer emails, handle deliveries and mail.
- Monitor security systems and report any concerns.
- Oversee and coordinate staff travel including researching and booking arrangements, raising POs, setting up traveller profiles, performing risk assessments, and ensuring seamless communication between travellers and travel providers.
- Manage meeting room bookings and ensure rooms are fully set up for client meetings and interviews.
- Process invoices, log credit card receipts, and submit expenses in a timely manner.
- Order office and kitchen supplies and book couriers with Finance approval.
- Work autonomously, take ownership of the reception area and proactively identify improvements to office processes.
