About the Role:
We’re looking for a Commercial Assistant to join our team in Brent. You’ll play a key role in supporting day-to-day administrative functions across our operations, ensuring all processes run smoothly and in line with company procedures. This role involves working closely with colleagues, clients, and service users to deliver accurate, timely, and professional support. You’ll be responsible for handling communications, managing purchase orders and invoices, maintaining records, and ensuring customer experience remains central to everything we do.
Role Responsibilities:
- Ensuring accuracy of work order pricing by reviewing and quality checking work orders including subcontractor data submissions, enabling the progression of completed jobs to invoicing stage to maximise cash collection targets and minimise unbilled work.
- Liaison with subcontractors to resolve any queries or disputes with completion and report any discrepancies or trends in pricing to the Commercial Manager to ensure codes claimed are correct within the job specification and that all costs can be recovered without causing issues or delays to payment.
- Monitor overheads & cost control of the contract including vehicles, equipment, tools, stock, and petty cash.
- Running pay notices for subcontractors.
- Provide coding advice to the Planning Team when required to ensure jobs are raised or varied correctly.
- Work with team members to ensure a commercially competent service is delivered to service users and clients, supporting the attainment and maintenance of high levels of satisfaction with performance delivery according to agreed standard operating/contractual procedures and targets.
- Ensure the customer experience is central to all activities by adopting a professional manner when communicating with all stakeholders, including maintaining a high standard of Health & Safety requirements and keeping all supplied company assets in good condition in line with company policies.
- Provide assistance with any other tasks that may arise commercially.
- Attend informal and formal company & client meetings and training sessions as required.
Role Criteria:
- Experience in a commercial environment, ideally within the social housing sector.
- Proven ability to manage administrative processes accurately and efficiently.
- Comfortable working to deadlines in a busy office setting.
- Strong time management, planning, and organisational skills.
- Confident using computerised systems and Microsoft Office applications.
- Excellent written, verbal, and interpersonal communication skills.
- Strong customer service ethos with a professional approach to all interactions.
- Ability to liaise effectively with service users, colleagues, and external stakeholders.
- Willingness to attend meetings and training sessions as required.
- Commitment to maintaining high standards of health & safety and company procedures.
