Mears provides temporary accommodation to asylum seekers whilst their claim is being assessed in three regions: Northeast, Yorkshire and Humber, Northern Ireland, and Scotland. Mears works in partnership with central and local Government, registered providers, tenants, landlords and investors to find solutions to homelessness, provide more social and affordable housing and create specialist housing for people with care needs.
About the Role:
As an Accommodation Coordinator, the main role will be working as part of the initial accommodation team. Responsible for allocating bed spaces to service users quickly to minimise loss of income. This will include relocating service users to another property or finding new properties for new service users to move into. Keeping safeguarding and Service User experience at the heart of the service will be key to succeeding in this role. Ensure all Service User notifications are processed accurately and efficiently to match the Service User to a bedspace. An important part of the role is to work closely with regional teams and the transport team throughout the whole service user process.
Key Responsibilities:
- Manage service users’ data accurately and securely.
- Oversee and respond to incoming emails in a timely manner.
- Allocate bedspaces promptly to service users to minimise income loss.
- Relocate service users or identify suitable properties for new placements.
- Prioritise safeguarding and ensure a high-quality service user experience in all accommodation decisions.
- Process service user notifications accurately to ensure appropriate matches.
- Collaborate closely with regional teams and the transport team during the allocation process.
- Maintain clear communication and coordination across all departments.
- Support operational efficiency by managing property turnover and occupancy levels.
- Deliver excellent customer service, ensuring positive experiences for service users/clients and internal colleagues.
- Confidently handle and make phone calls as part of daily coordination tasks.
Key Criteria:
- Proven administration experience, including managing records and coordinating processes.
- Strong customer service experience, ensuring positive interactions and outcomes.
- Proficient in Microsoft Office applications, including Excel; knowledge of VLOOKUPs, duplicate checks, and touch typing is an advantage.
- Excellent communication skills, with the ability to interact effectively at all levels, including local authorities, senior managers, and police.
- Demonstrated problem-solving experience, with the ability to address challenges efficiently and effectively.
