We are hiring a Receptionist to join our Shared Services team.
About the Role
The Receptionist / Administrative Support role is the first point of contact for visitors, clients and callers to MDL. This position plays a key role in creating a professional, welcoming and efficient front of house experience while providing high quality administrative support to the CEO’s Executive Assistant. The role requires strong communication skills, discretion, adaptability and a collaborative approach. This role is based in MDL offices in Gateway Business Park, Cove. This is a full-time role, 40 hours per week, Monday – Friday in the office. The actual hours can be agreed to suit as long as they are within working day (typically between 8 – 5pm).
Key Responsibilities
- Reception & Front of House
- Manning the MDL reception desk during core working hours
- Welcoming, greeting and signposting visitors in a professional and friendly manner
- Ensuring visitors are signed in appropriately and host notifications are managed
- Ensure all visitors read and understand the HSE Induction
- Maintaining a tidy, organised and professional reception area
- Supporting meeting room bookings and basic refreshment set up where required
- Process and distribute incoming/outgoing post, mail and parcels
- Telephone & Communication Management
- Answering the MDL main telephone line promptly and professionally
- Transferring calls to relevant team members or departments
- Taking accurate messages and ensuring timely follow up
- Managing general enquiries received via telephone or reception
- Administrative Support
- Providing day to day administrative support to the CEO’s Executive Assistant
- Assisting with diary coordination, document preparation and organisation
- Supporting ad hoc administrative tasks to ensure the smooth running of the executive office
- Managing confidential information with a high level of discretion and professionalism
- Book lunches and refreshments when requested
- Supporting wider administrative tasks as required across the business
- General Support
- Working collaboratively with colleagues across MDL
- Supporting internal events, visits or meetings as required
- Undertaking other reasonable administrative duties as requested
Desired Skills and Experience
- Previous experience in a receptionist, administrative or office support role (preferred)
- Confidence using Microsoft Office applications (Outlook, Word, Excel) (essential)
- Experience working in a professional office environment (preferred)
