We are seeking a highly organised and proactive Office Administrator to support our growing electrical business. The successful candidate will play a key role in keeping operations running smoothly — coordinating engineers, managing client communications, supporting compliance documentation, and assisting with invoicing and reporting.
Duties
- Answering incoming calls and responding to emails
- Booking jobs and scheduling engineers
- Liaising with clients regarding reactive works and PPM visits
- Logging service calls and updating job management systems
- Following up on quotations and completed works
Job & Compliance Administration
- Uploading certificates (EICRs, Minor Works, Installation Certs)
- Maintaining compliance records and asset registers
- Assisting with council / commercial contract documentation
- Preparing RAMS and site paperwork (templates provided)
- Tracking planned maintenance schedules
Systems & Financial Support
- Raising invoices and purchase orders
- Reconciling supplier invoices
- Updating spreadsheets and dashboards
- Assisting with timesheets and engineer records
- General filing and document control
Requirements
- Strong organisational skills
- Confident telephone manner
- Good IT skills (Microsoft Office essential)
- Experience using job management systems (desirable)
- Ability to work independently and prioritise tasks
- Previous admin experience (electrical/construction industry preferred but not essential)
