We are seeking a Senior Financial Administrative Assistant to join a leading international energy organisation, providing financial and administrative support across a range of accounting, invoicing, and reporting activities.
This role is ideal for a finance professional with strong SAP experience, a solid understanding of financial accounting principles, and previous exposure to high-volume transaction environments. Working closely with Finance, HR, Operations, and international stakeholders, you will play a key role in ensuring accurate financial reporting, invoice management, accrual accounting, and month-end close activities.
Key Responsibilities- Financial Administration & Invoicing
- Perform pre-invoicing checks and validation of supporting documentation.
- Prepare and process customer invoices in line with monthly deadlines.
- Verify billing information, rates, currencies, expenses, VAT, and contractual requirements.
- Create draft sales orders and supporting documentation within SAP.
- Monitor invoice approvals and resolve invoice-related queries.
- Liaise with internal departments and stakeholders to ensure accurate and timely billing.
- Accounts Payable & Cost Allocation
- Review and analyse invoices received through invoice management workflows.
- Investigate and validate cost allocations and coding.
- Process service entries and support invoice approval activities within SAP.
- Assist in resolving invoice backlogs and outstanding transactions.
- Support junior team members and contribute to process improvements.
- Financial Reporting & Month-End Activities
- Prepare monthly and quarterly accruals by supplier, cost type, and currency.
- Perform reconciliations and support month-end and year-end close activities.
- Assist with budgeting, forecasting, and financial planning processes.
- Support labour cost analysis and reporting activities.
- Work closely with Finance teams to ensure accurate accounting and financial controls.
- Assist with hard close activities and management of outstanding accruals.
- Stakeholder Management
- Act as a key contact for invoice and finance-related queries.
- Liaise with Finance teams, accountants, business managers, and international stakeholders.
- Collaborate with HR regarding organisational and employee-related financial administration.
- Build effective working relationships across multiple departments and locations.
- Essential
- Previous experience in a Finance, Accounting, Accounts Payable, or Financial Administration role.
- Strong understanding of financial accounting principles, including accruals, reconciliations, and journal entries.
- Experience working within a high-volume transaction environment.
- Advanced Microsoft Excel skills, including Pivot Tables, VLOOKUP/XLOOKUP, IF statements, and reporting.
- Strong SAP experience, including invoice processing and accounting transactions.
- Excellent attention to detail and organisational skills.
- Ability to manage multiple priorities and meet strict deadlines.
- Desirable
- SAP MM, SAP FI, or SAP FICO experience.
- Experience with OpenText VIM or similar invoice workflow systems.
- Oracle knowledge.
- Previous experience within Oil & Gas, Energy, Shared Services, or large multinational organisations.
- Italian language skills.
- Experience working within an international environment.
