Purpose of the Role
This is a high-impact role at the heart of a major digital transformation. You will lead the end-to-end delivery of a new property management system, replacing the existing platform and reshaping how the business operates across its residential, commercial and development portfolios. From initial planning through to go‑live and beyond, you’ll own the implementation journey — ensuring the system is configured correctly, integrated seamlessly, adopted confidently by users and aligned with the wider strategic objectives of the business. A critical part of the role will be overseeing complex integrations, particularly with HubSpot CRM, finance platforms and reporting tools. You’ll work closely with internal stakeholders and external developers, managing APIs and data connectivity to ensure the technology ecosystem works as one.
The Role
You’ll take full ownership of the project, setting clear plans, timelines and budgets while proactively managing risks and dependencies. This is an end-to-end delivery role, covering system design, build, testing, training and rollout, with accountability for outcomes, not just activity.
Acting as the central point of coordination, you’ll bring together finance, asset management, property management, IT and CRM teams, as well as third‑party suppliers. You’ll lead requirements‑gathering workshops, translate operational needs into system functionality and provide clear, regular updates to senior leadership and steering groups.
Working closely with system vendors, you’ll oversee configuration across key modules including lease management, rent collection, service charges, credit control, facilities management and reporting. You’ll manage data migration from legacy systems, ensuring accuracy, integrity and business confidence in the new platform.
Integration will sit at the core of your remit. You’ll coordinate and oversee API development connecting the new system with HubSpot, finance and banking platforms, tenant portals and BI tools, managing external developers where bespoke solutions are required.
You’ll also lead User Acceptance Testing, designing real‑world test scenarios that reflect how teams actually work. You’ll define and oversee integration testing, ensuring data flows, CRM synchronisation and reporting pipelines perform as expected.
Training and adoption will be key to success. You’ll develop training materials, coordinate hands‑on sessions and support teams through process change, ensuring the system isn’t just implemented, but genuinely embedded. Post go‑live, you’ll provide hands‑on support, troubleshoot issues, capture lessons learned and help shape best practice for future digital projects.
What We’re Looking For
You’ll be an experienced Project Manager or Systems Implementation Lead with a strong track record of delivering complex ERP or property management system implementations. Experience in the property or real estate sector is highly desirable, particularly where multiple asset classes are involved.
You’ll be comfortable working hands‑on with integrations, APIs and developers, and confident overseeing data migration and system connectivity. Familiarity with HubSpot CRM and its integration with third‑party platforms will be a strong advantage, as will experience working with finance systems such as general and purchase ledgers and payment platforms.
Strong stakeholder management skills are essential. You’ll be equally confident engaging senior leadership and working closely with frontline teams, translating technical delivery into clear business outcomes. You’ll bring a structured, organised approach, excellent problem‑solving skills and the ability to produce clear documentation, training materials and reports.
Nice to Have
Experience across both commercial and residential property environments, including PBSA or BTR, would be beneficial. Knowledge of UK property management compliance requirements, exposure to BI and reporting tools such as Power BI or Tableau, and experience leading legacy‑to‑cloud system replacements would all be advantageous.
