Role Description

This is a full‑time, on‑site role for a Team Personal Assistant (PA) for the senior leadership team, with Office Management responsibilities, based in the London Area, United Kingdom. The responsibilities include managing day‑to‑day administrative tasks, assisting executives with scheduling, correspondence, and diary management, as well as providing general office management support. The role involves ensuring smooth office operations, handling clerical duties, and enhancing team efficiency through proactive support.

Key Responsibilities

  • PA & Team Support (Approx. 75%)
  • Proactively manage complex team calendars, prioritising conflicting demands.
  • Anticipate scheduling issues and resolve them before they arise.
  • Organise internal and external meetings, including multi‑time‑zone coordination.
  • Prepare meeting agendas, collate papers, and distribute in advance.
  • Take clear, concise minutes capturing actions, owners, and deadlines.
  • Follow up on action items and support governance rhythms (weekly/quarterly cycles).
  • Draft, proof, and format documents, presentations, briefings, and correspondence.
  • Maintain accuracy, consistency, and confidentiality at all times.
  • Manage shared inboxes, prioritising messages and responding on behalf of the team when appropriate.
  • Support project plans by tracking milestones, updating documents, and liaising with stakeholders.
  • Coordinate regular team updates, dashboards, or progress summaries.
  • Create and maintain team trackers, shared files, and databases.
  • Book travel, accommodation, itineraries, and logistics.
  • Process expenses, purchase orders, and invoice submissions.
  • Ensure value for money and compliance with organisational policies.
  • Organise team events, away days, off‑sites, and workshops.
  • Manage agendas, catering, materials, and delegate communication.
  • Support internal engagement initiatives, surveys, or celebrations.
  • Office Management (Approx. 25%)
    • Maintain a clean, organised, and professional office environment.
    • Act as first point of contact for facilities, IT service desk, cleaning teams, and building management.
    • Report and track maintenance or equipment issues until resolved.
    • Maintain appropriate stock levels of office supplies, printing materials, stationery, and consumables.
    • Manage ordering and supplier relationships (light‑touch procurement).
    • Coordinate equipment such as monitors, keyboards, docking stations, and meeting room tech.
    • Support basic compliance tasks such as DSE checks, fire marshal coordination, or visitor sign‑in processes.
    • Ensure staff have safe and functioning workspaces.
    • Maintain an up‑to‑date office manual or welcome pack.
    • Prepare desk setups, welcome packs, and access passes for new starters.
    • Assist with inductions — office tour, systems overview, point‑of‑contact introductions.
    • Manage meeting room bookings and shared office calendars.
    • Support hybrid working arrangements, hot‑desk rotas, or desk management systems.
    • Coordinate courier deliveries, post handling, and incoming office communications.
