International law firm in the City is looking for a legal PA to the managing partner. The role will include all diary management and travel arrangements, as well as producing and formatting documentation and correspondence.

Duties to include:

  • Extensive and complex diary management, often over several time zones, and troubleshooting scheduling conflicts.
  • Proactively anticipating the partners’ needs in advance of meetings, conferences, etc. and taking action to ensure they are properly prepared.
  • Typing and amending documents including correspondence, agreements, and digital dictation.
  • Travel management to include hotels, taxis and transfers, flights, currency, visas, etc., and creating detailed travel itineraries.
  • Drafting, amending, and proof-reading agendas, PowerPoint presentations, and other pitch documents.
  • Arranging events, lunches, dinners, seminars, and meetings including sourcing restaurants and private hire venues.
  • Carrying out conflict checks on new clients and collating the KYC documentation.
  • Proofreading documents.
  • Tracking expenses.
  • Anticipating potential issues and understanding priorities.
  • Assisting with confidential projects.

Substantial experience as a legal PA is essential as this is a busy role, and ideally, you will have supported partners at senior, managing, or board level. The ability to multi-task, deal with highly confidential documents and information, and organise a busy workload is also essential. You must also be an excellent communicator as you will be dealing with senior stakeholders, both internally and externally.
