We are looking for an organised Transport Coordinator (Admin) to provide administrative support for transport operations. The role involves handling paperwork, maintaining records, liaising with drivers and customers, and ensuring smooth logistics processes. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The role of the Transport Coordinator (Admin) is to liaise daily with the Transport Manager, Production and Dealer Support teams.
Key Responsibilities:
- Administrative Support: Maintain accurate transport records, update databases, and process delivery paperwork. The ideal candidate will collate, undertake pre-checks, book and invoice all shipping. Liaise with the Transport Manager, production and Dealer Support teams to ensure accurate timescales for delivery. Request Freight costs and record all communications on the despatch schedule/PDI folders. Preparation and filing of export paperwork eg EUR1 forms, certificates of origin, road permits, despatch notes, invoicing in line with our audit and compliance rules and regulations, all other documentation associated with the outward movement of our machines.
- Driver Coordination: Communicate schedules, distribute job assignments, and ensure drivers have the necessary documentation. Build excellent working relationships with existing freight companies and be main point of contact for all machine freight queries.
- General Office Support: Handle phone calls, emails, and general administrative tasks related to transport operations. Work closely with Transport manager, production and dealer support team. Communicate transport updates with internal team and directly with the Dealer.
