A fast-paced, multi-site operation is looking to appoint a highly organised and detail-driven Transport Office Document Control Coordinator to join its busy transport office. This isn’t a typical administrative role. You’ll sit at the heart of the business, ensuring that every job is fully documented, accurate and ready for invoicing, eliminating the gaps that lead to delays, queries and lost revenue.
Working closely with Transport Planners and Accounts, you’ll take ownership of the full paper trail, ensuring every job has a purchase order, agreed rate and proof of delivery, all matching, every time. Key Responsibilities- Capture and confirm every order, ensuring all job details are complete and recorded accurately before progression
- Ensure every job has a valid PO number and agreed rate, chasing missing information where required
- Maintain and align the transport diary, PO log and rate schedules on a daily basis
- Reconcile loads delivered against purchase orders, ensuring accuracy and capturing any additional revenue opportunities
- Collect, match and maintain tickets, delivery notes and PODs against each job
- Run daily checks to ensure all documentation is complete before it is passed to Accounts
- Manage and resolve invoice queries, acting as the first point of contact for Accounts
- Build and maintain customer billing profiles to ensure invoices are delivered correctly first time
- Work proactively to reduce invoice queries and minimise credit notes across the business
- Previous experience within transport, logistics, haulage or a similar operational office environment
- Strong document control and administration skills with exceptional attention to detail
- Confident communicator, comfortable chasing customers, drivers and internal teams for information
- Highly organised with the ability to manage multiple priorities in a fast-paced environment
- Proactive mindset with a focus on accuracy and continuous improvement
- Strong Excel and systems skills, with experience of working with planning or transport systems
