McBains are looking for an Administrator to provide administrative support to various teams in the London office. It is office based work for a minimum of 3 days a week, with two days working from home in line with the company’s flexible working policy. This role will be on a contract basis for up to 4 months.

Key Responsibilities

  • Working with Directors and Team
  • Coordinate project delivery deadlines within the team
  • Follow all QA and standard procedures
  • Arrange meetings and lunches with clients
  • Help with diary management
  • Financial/Fees
  • Helping with invoicing
  • Posting Director timesheets and credit card reconciliation
  • Reception
  • Covering reception when receptionists are away
  • Answer phones when reception is busy
  • Administration
  • General office duties including photocopying, scanning, binding, printing
  • Heavy formatting of documents
  • Use of Adobe Sign for documents
  • Document control
  • Issuing of documents on Sharefile systems
  • Opening new jobs, making new files, keeping filing up to date
  • Converting word documents into Adobe In-Design software
  • Booking travel/accommodation
  • Booking meeting venues if required
  • Maintaining CRM – Projects/Contacts etc
  • Organise meetings when required

Skills, Knowledge and Expertise

  • Director Level experience
  • Working in a demanding team
  • Previous experience in Construction Consultancy firm/Property Sector
  • Document control experience
  • Strong organisational skills
  • Excellent communication skills
  • Tact, discretion, and respect for confidentiality
  • 50+ WPM
  • Advanced Word/Excel/Powerpoint
