Department: CEN – Central Functions Employment Type: Full Time Location: London – McBains, 26 Finsbury Square, EC2A 1DS Description Due to continued growth, McBains are looking for an Accounts Payable Finance Assistant to join our London based team. The AP Finance Assistant will support the finance team with a mix of accounts payable, credit control, billing, and reporting responsibilities. This role would suit a junior finance assistant with an interest in Accounts Payable. You would be providing essential support across multiple financial functions while taking on responsibilities in supplier compliance, expense management and monthly reporting. Key Responsibilities Accounts Payable & Supplier Management Process and post AP invoices in Unit4, ensuring proper coding and authorisation per the GOA. Monitor and manage the Accounts Payable inbox, ensuring invoices are processed and queries addressed in a timely manner. Maintain the supplier ledger, acting as the primary point of contact for supplier queries and escalating issues when necessary. Assist with ensuring that all new suppliers are onboarded per company policies, verifying bank details and subcontractor compliance. Prepare, check, and circulate the twice-monthly supplier payment run for approval before processing. Assist with purchase order administration in Unit4. Credit Control & Billing Assist the Credit Controller in running aged debt reports. Assist Credit Controller with distributing customer statements. Assist with processing credit notes and handling customer invoice queries. Support finance approval and distribution of sales invoices. Set up new projects in Unit4 Staff Expenses & Credit Card Management Prepare and process staff expense payments, ensuring proper documentation and approvals. Assist with administering credit cards, ensuring timely statement completion and compliance. Assist with processing and review monthly fuel card expenditures, highlighting concerns where necessary. Reporting & Month-End Processes Assist in running monthly financial reports for sales, aged debt, and project profitability. Regularly generate and distribute various reports as needed by the business. Audit & Compliance Support audit preparation by compiling necessary financial documents and responding to auditor requests. Skills, Knowledge and Expertise Previous experience in a finance assistant or accounts payable role. Strong understanding of accounts payable, billing, and credit control processes. Proficiency in financial systems, preferably Unit4. Strong attention to detail and ability to manage multiple priorities. Excellent communication and stakeholder management skills. Intermediate to advanced Excel skills. Previous experience of working in the Construction industry, or in a Consultancy, ideal.
