About You
You are an adaptable, personable individual with a can-do attitude and a keen eye for detail. You will balance managing two properties - Hennerton House and Hennerton Old House - with wide-ranging administrative support across the business. This is a varied role combining a solid foundation of regular tasks as well as room for some surprises! No two days are quite the same.
Roles and Responsibilities
- Facilities Management
- Provide front-of-house support, including managing the reception desk, answering and transferring calls, and welcoming visitors and suppliers.
- Maintain a clean, well-stocked, and welcoming office environment, including kitchen areas.
- Manage all incoming and outgoing post and courier deliveries, including tracking international shipments.
- Order and manage office supplies, maintaining the stationery room and office printers.
- Order groceries, catering, and supplies for staff and office visitors, including firm events.
- Liaise with building managers, contractors, and suppliers on all office-related matters.
- Manage utilities (e.g. oil ordering, meter readings) and coordinate insurance renewals and related meetings.
- Supervise Hennerton House staff (builders, maintenance, cleaners, and gardeners), including managing their schedules, holiday requests, and payroll in conjunction with the Director of Finance.
- Oversee Hennerton Old House rental operations alongside Hennerton staff, including managing the rental calendar, procuring supplies, and resolving property issues as they arise.
- Reconcile accounts and credit card statements against receipts and process expenses via DEXT on behalf of the front-of-house, marketing, and finance teams.
- Assist the Marketing Manager with filing press clippings and supporting other marketing activities.
- Circulate and maintain the daily office attendance tracker, recording in-office and remote working arrangements.
- Log holiday and sickness absences in the firm's attendance tracking system.
- Support the Practice Manager with new employee onboarding, including arranging building passes, preparing starter materials, and assisting with inductions.
- Lead health and safety initiatives at the office, including coordinating and conducting annual training.
- Assist the IT Manager with the maintenance and updating of the firm's IT assets.
- Organise staff birthday and farewell celebrations.
- Source, purchase, wrap, and dispatch gifts and flowers on behalf of the firm, as required.
- Provide in-office administrative support on Tuesdays (and remotely on other days), assisting staff with printing, postage, telephone calls, resource gathering, and other ad hoc requests.
- Provide general administrative support, including PA cover during periods of absence.
- Run errands as required, including grocery shopping, post office trips, and cash withdrawals. A clean UK driving licence and access to a vehicle are essential for this aspect of the role.
- Source personal items, gifts, and memberships online; conduct ad hoc research; and manage restaurant bookings and similar personal arrangements.
- Coordinate and attend medical appointments and collect prescriptions on behalf of the Partners, including from Wargrave Surgery.
- Assist with a variety of personal and household tasks, which may vary in nature and volume.
Person Specification
- Strong written and verbal communication skills.
- Flexibility and the ability to manage competing priorities effectively.
- Front-of-house experience, ideally within a professional services environment.
- Proficiency in Microsoft Office, particularly Excel.
- Clean UK driving licence (essential).
