MAIN PURPOSE OF THE ROLE

The Receptionist & Client Services Coordinator is the first point of contact for clients, visitors and callers to the firm.

The role is responsible for delivering an exceptional client experience whilst ensuring the smooth day-to-day operation of reception, meeting room facilities and front-of-house services.

You will act as an ambassador for the firm; the post holder will maintain the highest standards of professionalism, confidentiality and client care, creating a welcoming and efficient environment for clients, visitors and colleagues.

JOB DESCRIPTION FOR A RECEPTIONIST

  • Deliver a professional, friendly and efficient front-of-house service at all times.
  • Welcome all clients, visitors and suppliers and ensure a positive first impression of the firm.
  • Notify colleagues promptly of visitor arrivals and proactively manage waiting times.
  • Escort visitors to meeting rooms when required.
  • Ensure visitor sign-in, security pass and sign-out procedures are followed.
  • Maintain a professional, welcoming and tidy reception environment.
  • Take ownership of client hospitality and visitor experience from arrival to departure.
  • Operate the telephone switchboard efficiently and professionally.
  • Answer, screen and transfer incoming calls promptly and accurately.
  • Take detailed messages and distribute promptly.

Meeting Room Organiser

  • Coordinate meeting room bookings and maintain diaries accurately.
  • Prepare meeting rooms in advance of meetings, training sessions and events.
  • Arrange room layouts including boardroom, presentation and theatre-style configurations.
  • Ensure rooms are stocked with stationery and refreshments.
  • Organise refreshments, catering and hospitality requirements.
  • Monitor stock levels of refreshments, catering supplies and hospitality items.
  • Replenish kitchens, meeting rooms and hospitality stations as required.
  • Place orders for refreshments, catering supplies and consumables in line with agreed procedures.
  • Clear meeting rooms promptly after use and return them to a high standard.

Facilities and Events Support

  • Accept deliveries, post and courier items and ensure prompt distribution.
  • Coordinate courier bookings
  • Coordinate travel bookings as required.
  • Monitor reception, meeting rooms and kitchen areas to ensure they remain clean, organised and well stocked.
  • Raise any facilities, maintenance or building-related issues with the Operations Manager promptly.
  • Process cash receipts and supporting documentation for the Accounts team.
  • Undertake additional administrative and operational tasks as directed by the Operations Manager.

  • At Least 12 Months receptionist experience or within professional services
  • Front of house host experience desirable
  • Understanding of client confidentiality
