Responsibilities

  • Secretarial Support: Provide full secretarial support to a variety of practices as requested by the Practice Manager, including letter production, reports, and other clinical documentation while maintaining strict confidentiality. Manage correspondence and telephone contacts professionally and efficiently, ensuring prompt and accurate responses.
  • Appointment Management: Independently create and schedule appointments within the electronic medical record system, ensuring accuracy and thoroughness. Receive new patient referrals and arrange relevant appointments in a timely manner, coordinating with various departments as necessary. Advise patients regarding co-payments, referral authorisations, and/or pre-service deposits to ensure funding is in place for visits or procedures.
  • Patient Coordination: Register new patients and update existing patient records, maintaining accuracy and attention to detail. Facilitate patient visits by responding to patient needs and coordinating care internally and externally. Arrange investigations and obtain test results using Mayo data systems, escalating abnormal or urgent results to consultants promptly.
  • Interdepartmental and External Liaison: Interact professionally with healthcare professionals, referring providers, allied health staff and patients, ensuring dignity and respect in all interactions. Maintain effective working relationships with personnel within and outside Mayo Clinic, including external service users, volunteers, and visitors.
  • Documentation and Record Management: Coordinate outside medical records, imaging, lab results, etc., ensuring all necessary information is available to providers. Maintain and file accurate patient records, preparing relevant clinic notes prior to outpatient clinics. Ensure follow-up documentation, such as progress notes, is sent to referring agencies or individuals in a timely manner.
  • Policy Compliance and System Navigation: Interpret and apply Mayo policies regarding scheduling criteria and medical need appropriately. Navigate multiple systems simultaneously to service inquiries and manage scheduling workflows efficiently.

Qualifications

  • Minimum Education and/or Experience Required: General Certificate of Secondary Education (GCSE’s) and previous medical secretarial experience (at least 3 years preferably in the private sector).
  • Additional Experience and/or Qualifications: Completion of a Medical Terminology course is preferred. Qualified candidates must be customer-focused, service-oriented, and possess strong verbal and written communication skills. Ability to troubleshoot, problem-solve, and balance conflicting demands independently. Demonstrated ability to work effectively in a fast-paced team environment, managing difficult and emotional situations with calmness and empathy. Strong attention to detail, accurate typing, and letter proofreading skills. Proficiency in systems such as Word, Outlook, CRM. Basic understanding of insurance terminology. Experience working in a variety of specialties. Must be fluent in English and have the right to work in the United Kingdom.

Compensation Detail: Education, experience and tenure may be considered along with internal equity when job offers are extended.

Schedule Details: Hours of work may be between 8am to 9pm. An occasional Saturday may be required.
