Responsibilities

  • Secretarial Support
    Provide accurate and confidential secretarial support, including audio typing and document preparation.
  • Appointment Management
    Schedule appointments within the electronic medical record system with a high level of accuracy. Process new patient referrals and coordinate appointments with relevant departments. Advise patients on co-payments, authorisations, and pre-service requirements.
  • Patient Coordination
    Register new patients and maintain up-to-date records. Support patient visits by addressing queries and coordinating care internally and externally. Arrange investigations and obtain results, ensuring urgent findings are escalated appropriately.
  • Interdepartmental & External Liaison
    Communicate effectively with clinicians, external providers, and patients. Maintain effective working relationships across the organisation and with external partners.
  • Documentation & Records Management
    Manage incoming medical records, imaging, and test results. Prepare clinic notes and ensure timely distribution of follow-up documentation.
  • Policy Compliance & Systems
    Apply scheduling policies and criteria accurately. Use multiple systems efficiently to support scheduling and service enquiries.

Qualifications

  • Required qualifications
    GCSE or equivalent.
    3 years’ medical secretarial experience.
    Experience within NHS or private healthcare settings.
    Fluency in English and eligibility to work in the UK.
  • Preferred Qualifications
    Medical Terminology training.
    Strong written and verbal communication skills.
    Ability to work independently and balance competing demands.
    Excellent attention to detail and proofreading accuracy.
    Proficient computer and keyboard skills (Meddbase and CRM).
    Basic understanding of insurance terminology.
    Experience across multiple specialties.
