They are looking for an experienced Team Secretary with strong Audio Typing skills to support Two Senior Partners and the wider Consultancy team. Team Secretary/PA - The Role
- Diary Management – Managing everchanging and complex calendar using Outlook.
- Organising client meetings with multiple participants (often across different time-zones) and internal meetings and conference calls.
- Monitoring partner e-mails and forwarding to the relevant manager(s) in a timely manner.
- Complete coordination of travel bookings.
- Managing incoming telephone calls, screening and taking messages, liaising with clients, where appropriate.
- Compiling and processing expenses within required deadline.
- Preparing timesheets for partners using CCH software.
- Scanning incoming post for the group – Partners and Managers and maintaining the relevant electronic client filing system.
- Preparation of both standard and custom letters and reports.
- Updating CPD (Continuing Professional Development) database.
- AML (Anti-Money Laundering) Re-assessments: Sending emails to managers to ensure the database is kept up to date.
- Keeping quarterly log of which bills have been sent to clients and noting when the bills have been paid.
- Covering for other secretaries during absence and holiday and occasional reception cover.
What you will offer:
- The successful candidate will have previous experience working as an Audio Team Secretary supporting at Director/Partner level within the Financial Services or Professional services sector.
- Excellent organisational and time management skills to meet deadlines (particularly at year ends and the end of the tax year).
- Audio-typing is a MUST!
- Ability to adapt between different types of work, prioritise effectively and manage multiple tasks.
- Strong IT skills including but not limited to Word and Excel.
- High level of accuracy in preparing documents and other information.
- Ability to communicate clearly and professionally.
- Trusted to handle sensitive information with integrity and professionalism.
