Overview
Purpose of role: The Pump Service Scheduler is responsible for planning, scheduling, and coordinating the daily activities of pump service engineers to ensure efficient delivery of maintenance, repair, and installation services while meeting customer, safety, and contractual requirements.
Reports to: Head of M&E
Location: Unit C2 Kingsland Trading Estate, St. Phillips Road, Bristol. BS2 0JZ
Working hours: 7:30 - 16:00 + 30 minutes lunch break
Main duties
- Scheduling & Planning
- Plan and schedule pump service engineers for breakdowns, preventative maintenance, installations, and emergency call-outs
- Optimize engineer routes, workload, and travel time to improve efficiency
- Coordinate on-call rotas, overtime, and emergency response coverage
- Schedule planned maintenance visits in line with service contracts and SLAs
- Coordination & Communication
- Act as the primary point of contact between customers and pump service engineers
- Allocate jobs based on engineer skill set, certification, and availability
- Communicate job details, changes, and priorities clearly to engineers
- Liaise with customers to confirm appointments and access requirements
- Resource & Parts Coordination
- Coordinate with procurement and suppliers to ensure parts and equipment availability
- Align engineer schedules with spare parts delivery and workshop repairs
- Support planning for major overhauls, shutdowns, and project works
- Monitoring & Reporting
- Track job progress, completion times, and engineer utilization
- Monitor SLA performance, response times, and backlog
- Prepare daily reports
- Systems & Administration
- Maintain accurate job records in CMMS / service management systems
- Update schedules, work orders, and service histories
- Support invoicing by ensuring job completion data is accurate
- Health, Safety & Compliance
- Ensure scheduled work complies with safety requirements and site rules
- Verify engineer certifications and training requirements are current
- Support permit-to-work and access planning where required
Qualifications and experience required to do this role
- Experience in service scheduling, dispatch, or operations coordination
- Background in pump services, mechanical engineering, or field service operations preferred
- Strong understanding of pump maintenance and service workflows
- Experience using scheduling software
- Excellent planning, coordination, and time-management skills
- Strong communication and customer service abilities
- Ability to manage changing priorities and emergency call-outs
- Attention to detail and problem-solving mindset
- Technical knowledge of pumps and rotating equipment
- Experience scheduling multi-skilled field engineers
- Knowledge of service contracts, SLAs, and KPI reporting
- Experience with budgeting to ensure monthly financial targets are met by scheduling the correct mix of jobs.
