Job Description
The Opportunity
The Facilities Coordinator will be responsible for the day to day facilities coordination of the Mattel UK office, and will take ownership of and run the operational management and delivery of all Facilities Management services within the UK business including Health and Safety. The Facilities Coordinator will also have the opportunity to support the Manager EMEA Facility & Workplace on region-wide initiatives, policies and compliance. This is a full-time outsourced office-based role; the working hours are as follows:
- 8am – 6pm Monday to Thursday (1 hour unpaid break)
- 8am – 1pm Friday (no break)
Job shares of the following pattern will also be considered:
- 8am – 1.30pm Monday to Friday (30 minutes unpaid break, excluding Friday’s)
- 1pm – 6pm Monday to Thursday
This is a 3 month contract with the possibility for extension.
The Role
Workplace / Facilities Coordination
- Experience supporting office or workplace operations in a corporate or professional environment
- Coordinating maintenance requests and vendor visits
- Managing service contracts (cleaning, waste, security, catering, etc.)
- Supporting space planning or desk/meeting room management
- Monitoring facilities budgets or processing invoices
- Handling building access, security passes, and visitor systems
Front of House / Reception
- Professional reception or front desk experience
- Greeting and assisting visitors in a corporate setting
- Managing visitor logs and access protocols
- Handling incoming calls and directing inquiries
Mailroom / Logistics
- Managing incoming and outgoing mail and courier services
- Logging and distributing internal mail and packages
- Coordinating courier pickups and deliveries
- Maintaining records of tracked shipments
- Handling confidential or sensitive deliveries securely
Qualifications
What We’re Looking For
- 2 – 4+ years’ experience in facilities coordination
- Experience in a fast-paced, multi-site or global organization
- Experience working with property management or landlords
- Event coordination support (internal meetings, town halls, office events)
- Experience implementing workplace improvements or process enhancements
- Ability to manage competing priorities
- Strong attention to detail
- Proactive problem-solving skills
- Ability to work independently with minimal supervision
- Understanding of workplace health & safety standards
- Discretion when handling confidential information
- Strong sense of responsibility for building security and protocols
- Ability to remain calm under pressure and have a hands‑on, solutions‑focused attitude
- High reliability and punctuality
- Team-oriented with a collaborative approach
- Professional, polished front-facing presence with the ability to engage with employees, executives, vendors, and visitors with an approachable and professional demeanour
- Excellent verbal and written communication skills
- Strong service mindset
Technical Skills
- Proficiency in Microsoft Office (Outlook, Word, Excel, Teams)
- Calendar and meeting room management systems
- Basic financial administration (POs, invoice processing, budget tracking)
- Familiarity with visitor management systems
- Experience using facilities/workplace management systems (e.g., Condeco, Envoy, ServiceNow, FM software)
- Facilities Management software is preferred
- Health & Safety reporting systems is preferred
- Basic knowledge of building systems (HVAC, fire alarms, access control) is preferred
