We are currently working in a hybrid fashion with the ability to work from home, however for a minimum of four days a week, you will be required at our Milton Keynes Office, with occasional travel to Basingstoke.

About the role

Office Management

  • First point of contact for office queries in Milton Keynes and Basingstoke, assisting remotely with queries relating to our Basingstoke office and action where necessary.
  • Point of contact for Facility issues. Liaising with our Landlord where necessary.
  • Supporting the business with visitors including helping to arrange visitor (clients, auditors etc) passes from Technology and relaying carparking information at Milton Keynes office
  • Provide administrative support to Leadership Support and Engagement Lead with travel and bookings, activities in London office and other requirements
  • Ensure our carparking portal is kept up to date with new starters, leavers, adding new vehicles and deleting vehicles as necessary and liaising with Basingstoke reception for this site.
  • Sort and distribute incoming post and ad-hoc Post Office runs for Special Deliveries/parcels.
  • Overall MK office oversight:
  • Oversee office supplies ensuring delivery and storage of kitchen and office supplies. Replenish supplies as and when needed.
  • Weekly office sweep to ensure office environment kept in good clean working condition and ensuring confidential shredding bags are emptied and replaced.
  • Ensure dishwasher is switched on at the end of the day. Remove out of date perishable items from the fridge once a week.
  • Organise recycling of consumables to include printer cartridges, batteries and Nespresso coffee pods.
  • Correspond with vendors such as fruit / milk company, vending machine and Nespresso.
  • Oversee Desk booking system, booking desks for Senior Management when required in both Milton Keynes and Basingstoke office and carparking.
  • Liaise with Finance Dept when using the Company credit card to ensure all invoices and receipts are forwarded in a timely manner.
  • Provide administrative support to Leadership Support and Engagement Lead on all H&S activities to ensure we remain compliant and in line with ISO requirements
  • Conduct monthly office Health & Safety risk assessments and First Aid kits and update checkliststored on Matrix Teams channel.
  • Attend monthly Health & Safety meetings with HR and Legal and progress any actions.
  • Responsible for ensuring DSE assessments are conducted by all new starters and on an annual basis and that any issues are flagged to the relevant manager and HR Advisor
  • Updating the monthly Organisation Chartwith any starters, leavers and movers

People Administration Engagement and Office Wellbeing

  • Managing data entry to the HRIS system to ensure employee records are up to date and accurate.
  • Conducting screening checks for all new starters, such as reference checks, right to work verification, and criminal record checks.
  • Overseeing the management of the team HR inbox and responding to employee queries in a timely and professional manner.
  • Loading new job roles onto HRIS platform and supporting candidate communications
  • Preparing and issuing employment contracts, offer letters, and other HR related documents, making sure that all relevant trackers are updated.
  • Ensure all new starters are loaded to Employee Benefits accounts, HRIS system within the onboarding process.
  • Owning the payroll preparation and monthly processing, supported by the HR Advisor and People Partners .
  • Support HR Advisor with administrative tasks associated with recruitment
  • Own Pre Employment screening of new employees and flagging concerns to HR Advisor and Hiring Manager.
  • Assisting with the coordination and delivery of HR initiatives and projects
  • Work with the People Team and Leadership Support and Engagement Lead to drive Social, Wellbeing and Engagement activities in the offices.
  • Maintaining and updating HR policies, procedures, and templates in line with best practice and legislation.
  • Supporting on note taking for team meetings and employee relations cases.
  • Supporting the HR team with any other administrative tasks as required.

  • A minimum of 2 years of experience in a similar administrative role.
  • A high level of confidentiality and discretion, with the ability to handle sensitive and personal information.
  • Excellent communication and interpersonal skills, with the ability to interact with people at all levels of the organisation.
  • Strong attention to detail and accuracy, with the ability to work under pressure and meet deadlines.
  • Proficient in using Microsoft Office applications.
  • A proactive and flexible approach, with the willingness to learn and take on new challenge
