Job Summary
Highly discreet and organised Personal Assistant required to support the Principals (elderly members) and their family, managing all aspects of both domestic and personal administration. The role demands flexibility, maturity, strong communications ability, excellent organizational and time management skills, empathy, and a proactive attitude.
Days and Hours – Monday to Friday 9am – 6pm
Key Responsibilities
• Attend Healthcare Appointments & Events as required
• Maintain medical schedules and records; liaise with health specialists.
• Coordinate with health insurers and ensure all appointments are properly booked and followed up.
• Attend medical appointments and events as required.
• Diary, Travel & Schedule Management
• Full oversight of the Principals\’ diaries and scheduling, including flights, hotels, airport transfers, etc.
• Prepare and distribute weekly/monthly calendars and briefing notes; ensure family and staff are kept up to date.
• Liaise with the Principals and staff to print any materials required for meetings and coordinate with participants as required.
• Set up and coordinate ad hoc meetings (physical and online as needed) and personal appointments
• Coordinate household schedules to ensure smooth running and alignment across family and staff activities.
Household Operations & Team Supervision
• Oversee and coordinate household staff (chauffeur, housekeeper, etc.): rotas, timesheets, holidays, HR-related tasks.
• Oversee maintenance of assets: properties, vehicles, gardens, technology; liaise with contractors and vendors.
• Procurement & Budget Control
• Handle purchasing (groceries to major items), deliveries, returns with full record keeping.
• Manage expenses and petty cash; ensure budget compliance and reconciliations.
• Administration & Documentation
• Create and maintain documents, reports, and correspondence of both administrative and strategic nature.
• Ensure tasks are handled efficiently and effectively without unnecessary delays.
• Ad Hoc & Errands
• Manage errands, personal and household projects.
• Be ready to adapt to changing and unexpected demands.
Candidate Profile / Skills Required
• Exceptional organisational and administrative skills – detail-oriented and structured.
• Demonstrable maturity, discretion and professionalism at all times.
• Flexible and adaptable; able to manage shifting priorities without loss of standard.
• Excellent interpersonal and communication skills (written & verbal).
• Strong problem-solving ability; able to work independently with minimal supervision.
• Good with IT and Microsoft Office (or similar tools), Calendar Management Software, Conference software (Zoom, Teams etc); quick and efficient in document creation and use of technology.
• Empathetic, caring and patient approach with a strong sense of responsibility and duty of care.
• Ability to anticipate needs, pre-empt issues, and take initiative.
