The Role Loans Operations, Documentation – Senior Officer – City of London based global Bank Martis Search is representing a global Bank, to hire a permanent \”Loans Administration Senior Officer (Loans Operations, Documentation – Senior Officer).” Our client is looking for someone with previous Loans Documentation experience (Loans Middle Office). You will also be trained within and be exposed to the wide Loans Administration Back Office type duties (and to help out from time-to-time, or holiday/ sickness cover). The company is going through a successful growth stage in 2025 within their Loans business and as a result need to hire within their Loans Operations department. The company is based in The City of London and the bank has global locations. The position sits within their Loans Operations department and reports into their Loans Administration Manager. The role provides Loans Operational support for their Lending, Corporate Banking, Current Account, Business Deposits, Corporate FX customers for all Bilateral and Syndicated Loan facilities. The role is also hybrid (within a x 4-week period, x 8-days employees are allowed to work from home, so you will be able to work-from, as well as in the office). JOB PURPOSE: To assist with the collection, review, capture, and periodic administration of system data obtained from legal documentation. Enabling accurate and timely execution of contracts on behalf of Loan Administration colleagues by proactively capturing Facility level data within our various systems. Thereafter assisting the Head of Department with the general administrative duties and various reporting responsibilities related to the suite of products handled by the Loan Administration Department. KEY RESPONSIBILITIES: To proactively attend to the department’s duties in the collation, reviewing, monitoring, registering, and filing of loan and other important documentation during the course of business as is related to Loan Administration departments assigned duties. Proactively manage a pipeline of lending new deals, amendments and sell-downs from credit approval to drawdown. To coordinate, delegate and assist in the completion of the ongoing monitoring and updates to financial and other documentation/information which is required under the terms of the relevant facility. To coordinate , delegate and assist in the completion of the day-to-day system registration and administration of facilities – including Japanese bilateral and committed, syndicated non-Japanese loan facilities and corporate FX facilities. To coordinate , delegate and assist in the completion of the control and ongoing monitoring of credit reviews and risk ratings. To collate and prepare for circulation relevant information which contributes towards the Department’s monthly reporting function. To provide training and mentoring to documentation-focused colleagues and to be regarded as a main contact point for enquiries on daily work matters. Create and maintain strong working relationships with colleagues and external stakeholders and act as a ‘go-to’ on queries relating to Loan documentation and maintenance of contracts. To minimise the occurrence of operational irregularities through a conscientious approach to daily duties and to ensure any relevant issues are reported to the Loan Administration Manager or Assistant Manager in timely fashion. To prepare and despatch electronic / pdf confirmations after receiving the necessary authorisation for release. To check and file confirmations and carry out routine general filing and archiving. To participate and engage in ongoing branch and departmental projects, such as regulatory changes, branch wide system or process enhancements and/or any department specific initiatives . To carry out other duties as required by the Head of Loan Administration, Assistant Manager, and the Deputy General Manager. To carry out such other duties as requested by the General Manager. QUALIFICATIONS AND EXPERIENCE: A” level standard of education, or equivalent, preferred. A minimum of 5 years relevant banking experience is required. Previous experience in analysing Bilateral, Syndicated and Agency Loan Agreements and related documentation. Previous experience of Loan Servicing, such as Drawdown, Rollover, Repayments and Cash Settlement is desired. Previous experience of participating in a large project is desired but not required. Loan IQ preferable but not essential. SKILLS: Excellent organisational and prioritisation skills Excellent communication skills at all levels with confidence to suggest solutions to our front office colleagues when problems come up. self-starter with good use of initiative and the ability to proactively find solutions. Attention to detail. SUPERVISION & REPORTING LINES: Responsible for ongoing monitoring of the departments daily transactional work, the development of knowledge and skill of junior staff in the department and the implementation of new or enhanced controls whenever required; all of which can be achieved via suitable and appropriate delegation of work to subordinates within the department. SUPERVISION RECEIVED: Supervised by the Head of Department and Loan Administration Manager (where deemed applicable). Continuous training, development, and support from all colleagues in the wider Loan Administration Department will be provided. KEY STAKEHOLDERS: Principally with other staff in the department, also with Front Office staff and occasionally with customers or external auditors in relation to dealing with routine enquiries. Also to a lesser extent with Loan Administration staff of other banks and some direct contact with bilateral clients, in respect of work undertaken on administrative matters.
