The Role
- You will provide full support to the Recruitment Assistance team covering recruitment, marketing and administrative functions.
- Answer incoming calls, take accurate messages and process as required.
- Maintain contact with clients, candidates and service providers such as media and internet advertising providers, as well as internal members of the Recruitment Consultancy, Client Relationship Management, Research and Database Administration team.
- Manage all aspects of applicant response & experience using our CRM and Applicant Tracking System (Broadbean).
- Read, prioritise and respond to all incoming correspondence using our ATS and CRM software in line with data protection regulations.
- Format CVs and other documentation for submission to clients.
- Handle diary management ā arrange interviews and meetings internally and with UK and international clients.
- Send out business development correspondence and marketing collateral as required.
- Oversee marketing and website related administration.
- Prepare reports including client and candidate briefing documents, job descriptions, interview notes and advertising copy.
- Ensure all communications with clients are correctly documented and timeārecorded.
- Arrange travel and accommodation where applicable.
The role requires a good deal of common sense, flexibility and quick thinking. You must be able to work on your own initiative, be assertive and persuasive without being aggressive, encourage others to meet deadlines, and work well as part of a team.
The Person
- Well educated, ideally to University Degree level.
- Experienced Administrator, ideally in recruitment, HR or other fastāpaced, customerāfocused environments.
- Confident, highly professional telephone manner when liaising with Senior Executives from the UK and overseas.
- Proactive and mature approach, selfāmotivated, able to resolve problems using own initiative.
- Excellent attention to detail and ability to produce quality work with minimal supervision.
- Appreciation of confidentiality and data protection issues.
- Minimum 45 wpm typing speed.
- Intermediate to Advanced skills in Word, Excel and PowerPoint.
- Familiarity with spreadsheets and databases.
- Strong telephone client liaison skills and willingness to represent and promote the organisation.
- Exceptional timeāmanagement and organisational capabilities, including experience coordinating projects.
- Ability to work to tight deadlines and maintain workflow.
- Methodical approach to work with a good eye for detail.
- Previous experience in a professional, clientāfocused environment, with PA, secretarial or office support ideally in HR or recruitment.
- Willingness to undertake routine tasks such as data input into a stateāofātheāart recruitment system CRM, updating the website, filing and photocopying.
