A vacancy has arisen for an Assistant Applications and Automation Specialist to join the Information Management team, based at our Denham campus. We offer hybrid working after six months of employment (mandatory onsite for three days per week).
What You’ll Be Doing
Reporting to the Company Data Coordinator, the role is varied within an evolving department that supports Martin-Baker in all aspects of data management, applications and automation. We proudly use SharePoint as an information management system across the organisation, you’ll be involved with SharePoint IT administration tasks and a wide variety of automation tools using VBA, Power Automate and PowerShell.
The purpose of the role is to assist the business with developing and maintaining automation, troubleshooting user issues (e.g. MFA), training users in M365 apps, MS Forms, Planner and Adobe, running XLookups and VLookups in Excel for comparisons, promoting best practice approaches, and using Purview software to monitor compliance. There will be lots of departmental interaction and stakeholder management across the whole organisation, encouraging colleagues to embrace the use of apps and automated processes.
Assisting the Company Data Coordinator, you’ll support with managing SharePoint users, uploading data into SharePoint sites and set SharePoint document metadata. You’ll provide advice and training to users, enabling correct use of the SharePoint system, undertaking Admin tasks such as site creation, site design (webparts), bulk adding of users, retrieval (search), bulk metadata changes and versioning. Using VBA and PowerShell applications, you’ll provide support, advice and training with M365 apps (Power Automate, Power BI, MS Teams, MS Forms), running XLookups and VLookups in Excel for list comparisons, and using Adobe. Additionally, you’ll migrate data from Network Drives to SharePoint, support with running compliance checks to ensure system integrity, such as running user activity reports and ensuring information is processed to required compliance standards.
Within this role, you’ll have the opportunity to proactively participate in business improvement initiatives for cross-functional information management systems, processes and procedures.
What We’re Looking For
- Strong abilities and enthusiasm with using Microsoft Excel, comfortable running XLookups or VLookups, manipulating data in Excel.
- Experience using any automation tool such as VBA or PowerShell or Power Automate. Keen to learn new skills, enthusiastic, pragmatic and professional perspective.
- General knowledge of M365 and Adobe applications/products.
- Proven attention to detail and driven to achieve results – enjoys setting own standards and checking work.
- Experience using business applications such as SharePoint / EDMS / other relevant tools.
- Desirable – Knowledge of variables, branching (If, Else statements), loops and similar programming language elements.
- IT troubleshooting skills.
- Desirable – User training experience.
- Strong communication skills.
