Job Overview
You will plan, resource, and operationally drive creative projects end-to-end, ensuring requests are delivered reliably and represent the firm consistently. You act as the studio’s operational front door: translating briefs into scope and timelines, coordinating resources, enforcing process and quality standards, and partnering with stakeholders to deliver right‑first‑time outcomes. In addition, when required you will triage and prioritise incoming work, manage the studio’s workflow and capacity, and act as a central communications point to ensure resources are allocated effectively and deadlines are consistently met.
Key Responsibilities
- Intake and scoping: capture objectives, audiences, constraints and success metrics at intake; work with function leads to propose a realistic scope, timeline, and resource plan, and prioritise requests against business needs.
- Project planning and tracking: build detailed project plans with milestones, owners and dependencies; maintain status updates, risk logs and contingency steps; proactively surface blockers and mitigation options.
- Triage and prioritisation: assess incoming projects for alignment with business priorities and available capacity; flag and elevate conflicts in priority with clear rationale and options.
- Resource and capacity management: align the right skillsets to project needs, monitor utilisation across studio teams, and recommend reallocations to avoid recurring fire‑drills; collaborate with team leads to resolve resource bottlenecks and maintain smooth production schedules.
- Workflow stewardship and optimisation: ensure consistent use of intake systems, templates, version control and file hygiene; continually evaluate and refine resource management and workflow systems to reduce lead time and create predictable outcomes.
- Stakeholder partnership and service: act as the primary point of contact for stakeholders; explain trade‑offs, offer clear options (for example, “two ways to approach this”), and manage expectations with empathy and professionalism; keep all stakeholders informed of priorities and progress.
- Production coordination: monitor project timelines and ensure tasks meet deadlines and quality standards; coordinate with stakeholders to address capacity challenges and maintain production continuity.
- Brand positioning and quality assurance: position work to represent the firm authentically and consistently; use standard approaches first and elevate custom treatments intentionally for approval; coordinate final checks focused on alignment to brief and client outcomes.
- Responsible use of tools and AI: leverage productivity and AI tools to improve planning and efficiency while adhering to ethical, legal and brand guardrails.

- Ensure projects are delivered on time and in line with agreed milestones (excluding client‑driven changes).
- Consistent intake and process adherence, including use of templates, version control, and file hygiene practices.
- Balanced and optimised resource allocation: utilisation is monitored and adjusted to avoid chronic over‑ or under‑capacity and reduce last‑minute escalations.
- Act as the brand positioning gatekeeper: apply standard‑first approaches and document approvals for custom treatments.
- Provide clear, constructive stakeholder service by presenting trade‑offs, options, and timely status updates.
- Minimise last‑minute escalations through proactive planning, early questions, and risk mitigation.

Required skills and experience
- Proven project management experience: delivering multi‑stakeholder creative work on time and on brief.
- Workflow and resource management experience: ability to triage work, balance workloads, forecast capacity and optimise team resources.
- Exceptional communication and stakeholder management: able to present trade‑offs, difficult news and recommended solutions clearly and calmly; serve as a central point of communication across teams.
- Strong operational discipline: demonstrated habits in timeliness, intake management, version control and file hygiene.
- Process optimisation: experienced in identifying bottlenecks and implementing improvements to enhance efficiency and operational consistency.
- Brand literacy: the ability to position work to meet firm standards and judge when custom treatment is required.
- Collaboration and leadership: skilled at fostering collaboration across teams, adapting to shifting priorities, and mentoring others in resource coordination.
- Familiarity with project‑management systems: Wrike, Monday.com, Smartsheets or equivalent, cloud file systems and creative review workflows; experience with AI productivity tools is a plus.
