A private family office is seeking a highly organised and discreet Family Office Associate / Executive Assistant to support the principals with lifestyle management, administrative coordination, and operational support across personal and property-related matters. The role requires exceptional attention to detail, strong organisational skills, and the ability to manage multiple priorities in a fast-paced and highly confidential environment. The successful candidate will work closely with the principals and external advisors to ensure the smooth running of day-to-day family office activities.

Key Responsibilities

  • Travel & Lifestyle Management: Coordinate complex domestic and international travel arrangements, including flights, accommodation, visas, transport, and detailed itineraries.
  • Travel bookings and experiences: Manage luxury travel bookings, restaurant reservations, and experiences.
  • Private events and hospitality: Arrange and coordinate private events, social engagements, and hospitality bookings.
  • Property sourcing and rentals: Assist with sourcing and arranging short-term and long-term property rentals in the UK and internationally.
  • Property operations: Liaise with property managers, estate staff, and service providers to ensure properties are maintained and operational.
  • Property logistics: Coordinate contractors, maintenance services, and property-related logistics as required.
  • Financial tracking: Track and organise invoices, receipts, and expenses for family office activities.
  • Payments and records: Assist with processing payments and maintaining records of household and lifestyle expenditures.
  • Financial documentation: Support the preparation and organisation of financial documentation when required.
  • Advisor coordination: Act as a point of contact for external advisors including lawyers, accountants, property managers, and service providers.
  • Meetings and follow-ups: Coordinate meetings, documentation, and follow-ups with professional advisors.
  • Administrative & Ad Hoc Support: Provide general administrative support to the family office.
  • Personal errands: Manage ad hoc requests and personal errands for the principals.
  • Recordkeeping: Maintain organised records and documentation related to travel, properties, and service providers.

Candidate Profile

  • Experience: 2–5 years’ experience in a family office, private household, concierge, lifestyle management, or high-level administrative role. Experience supporting high-net-worth individuals is preferred.
  • Skills: Exceptional organisational and time management skills; strong attention to detail and ability to manage multiple priorities; high level of discretion and professionalism; excellent written and verbal communication skills; proficiency with Microsoft Office and general administrative systems.
  • Personal Attributes: Proactive and solution-oriented mindset; ability to work independently and respond quickly to changing priorities; highly trustworthy with a strong sense of confidentiality; calm and professional under pressure.

Additional Information

Some flexibility outside standard hours may be required depending on travel and family schedules. The role may involve occasional travel or on-site visits to properties.
