Our London Studio is currently seeking an Office Coordinator who thrives in a fast-paced, creative environment — and who’s excited to play a central role in shaping an exceptional workplace experience. This is an on-site position at our London studio with occasional travel to our Birmingham office (1–3 times per month).
This opportunity would best suit a highly organised, people-centric individual with a desire to work in a highly creative and dynamic environment. The role will see you taking full responsibility for the smooth running of all front desk operations - along with everything that entails. Rest assured - no two days will be the same!
Your day to day will see you involved in everything from meeting and greeting clients, through to ensuring the studio is stocked with everything it needs for its efficient running. You will manage diaries, ensure the health and safety of our staff, and that everyone is up to speed with studio communications. In short - you will be the heart of everything that happens within our UK studios!
In this role you will…
- Welcome and greet clients and manage visitor calendar.
- Oversight of meeting room booking throughout office.
- Answer main phone line for office through Teams, transfer, direct phone calls, or take messages as appropriate.
- Serve as Shipping Manager for London and Birmingham office. FedEx shipping labels created and parcels are prepared for courier service including FedEx and messengers, ensuring company shipping policies are followed and project numbers are recorded when appropriate.
- Daily office upkeep including: restocking all fridges and hospitality stock, emptying dishwashers, upkeeping equipment, keeping lobby tidy, etc.
- Coordinate and prepare meeting rooms for bookings, ensuring they are ready for client presentations and meetings.
- Assist with coordination and set up for clients, visitors, or large meetings. Flex hours may be required.
- Oversee supply inventory for London studio, ensuring everything is stocked, available, and within budget.
- Place orders for Birmingham office stock and supplies as requested or directed.
- Be the main point-of-contact with building support for London and Birmingham offices, including security, facilities for maintenance, janitorial work, etc.
- Organize and oversee vendor deliveries, ongoing service calls, or maintenance work in London.
- Ensure Health and Safety protocols are followed throughout UK offices.
- Ensure local email distribution lists kept up to date, and maintain office communications.
- Coordinate with corporate finance teams to follow appropriate ordering procedures and tracking of ordered supplies through purchase orders, vendor relationships, and site assets.
- Support the local culture club events, fostering team bonding and a positive office culture.
- Liaise with IT for AV capabilities throughout office conference rooms, supporting visitors with AV as needed.
- Support occasional travel and expense management for Marks Senior Leadership.
You will have:
- Computer literacy, experience with Microsoft 365, Google Workspace, or similar platforms.
- Strong organizational skills.
- People facing hospitality and customer/team service experience - Minimum 2 years direct work experience preferred.
- Excellent written and verbal communication skills, including listening skills.
- Highly self-motivated, resourceful and detail-oriented.
- Ability to work both independently and in a team environment.
- A desire to work within a creative environment or industry.
- Bachelor’s degree or equivalent work experience preferred.
