As the first point of contact for the practice, you will play a vital and highly valued role. You will welcome patients, respond to a wide range of enquiries, and help guide them to the most appropriate clinician or service. While this is a part-time role, there may be opportunities for additional hours to cover annual leave or absence, offering some flexibility for those who are able to support the wider team. We recognise just how important our reception team is; they are truly the front line of the practice. This is a fast-paced and varied role that can be challenging at times, but it is also incredibly rewarding. Main duties of the job

The role is varied, fast-paced, and never dull, offering the opportunity to be involved in many aspects of the day-to-day running of the practice. Duties and responsibilities will include, but are not limited to:

  • Opening and closing the practice, helping ensure the surgery is ready to welcome patients each day
  • Managing the appointments system and supporting the smooth flow of clinics
  • Handling requests for appointments, home visits, and telephone consultations, ensuring patients are directed to the most appropriate healthcare professional
  • Acting as a key communication hub by taking messages and sharing information accurately and efficiently
  • Processing repeat prescription requests in line with practice procedures
  • Maintaining accurate patient records through timely computer data entry
  • Liaising with patients, colleagues, and external healthcare agencies in a professional and friendly manner
  • Carrying out general administrative tasks such as word processing, filing, scanning, and photocopying
  • Helping create a welcoming environment by keeping reception areas, noticeboards, and information displays tidy and well presented
  • Providing refreshments for staff and visitors when needed, contributing to a warm and supportive team atmosphere

This is a part-time position with a fixed weekly working pattern on the following days:

  • Monday: 8:00am - 1:00pm
  • Tuesday: 8:00am - 12:30pm
  • Thursday: 8:00am - 6:30pm (lunch hour)
  • Friday: 1:00pm - 6:30pm

Job responsibilities

The purpose of this role is to play a key part in the smooth, welcoming, and efficient running of the practice. You will be a friendly and professional first point of contact, helping to create a positive experience for patients and visitors, whether in person or over the telephone.

You will support patients in accessing the most appropriate services or healthcare professionals in a courteous, efficient, and compassionate manner, while also providing essential administrative support to the wider practice team. The role is central to effective communication across the practice, working closely with colleagues, external healthcare providers, and partner organisations to ensure excellent patient care.

Key Duties and Responsibilities:

This is a varied and rewarding role, with responsibilities that may change from time to time to reflect the needs of the practice. Working under the direction of the Administrator or Practice Manager, duties may include (but are not limited to):

  • Opening and closing the practice premises and maintaining security in line with practice protocols
  • Managing and monitoring the appointments system to support the smooth running of clinics
  • Handling face-to-face and telephone requests for appointments, home visits, and consultations, ensuring patients are directed to the most appropriate healthcare professional
  • Acting as a central communication point by taking messages and sharing information accurately and efficiently
  • Processing repeat prescription requests in accordance with practice guidelines
  • Managing incoming and outgoing mail and correspondence
  • Maintaining accurate patient records through timely and accurate computer data entry
  • Liaising with patients, colleagues, and external healthcare agencies in a professional, helpful, and friendly manner
  • Supporting clinicians by clearing and re-stocking consulting rooms as required
  • Providing general clerical and administrative support, including word processing, filing, scanning, and photocopying
  • Helping to maintain a welcoming and organised environment by keeping the reception area, noticeboards, and information displays tidy and well presented
  • Providing refreshments for staff and visitors when required, contributing to a positive and supportive team culture
Person SpecificationExperience
  • Excellent communication skills, with a friendly and professional manner when dealing with patients, visitors, and colleagues
  • Strong customer service skills, with the ability to remain calm, courteous, and helpful in a busy environment
  • Good organisational skills and the ability to prioritise tasks effectively
  • Confident using computers, with accurate data entry skills and the ability to learn new systems
  • Ability to work both independently and as part of a close-knit team
  • Good attention to detail and a commitment to maintaining confidentiality at all times
