We’re recruiting for a Bid / Tender Coordinator to join a growing technology business in Fareham. You’ll support the preparation and submission of bids, tenders and proposals, helping ensure responses are well organised, accurate and delivered on time.
Working closely with technical, commercial, programme and operational teams, you’ll gather information, coordinate contributions and produce professional submissions that showcase the business’s capabilities.
This is an opportunity for someone with strong organisational and written communication skills to develop a career in bids and proposals. You may already have experience supporting tenders or bring transferable skills from administration, project support or commercial coordination.
Key Responsibilities
- Monitor tender portals and procurement channels, highlighting relevant opportunities for review.
- Support the preparation of bids, tenders, proposals and requests for information.
- Review tender documents and identify submission requirements, deadlines and supporting documentation.
- Maintain bid schedules, checklists and action trackers, following up with contributors to keep submissions on track.
- Coordinate information from technical, commercial, finance and programme teams.
- Compile, format, proofread and edit proposal content for clarity, accuracy and consistency.
- Arrange bid review meetings, record actions and track their completion.
- Maintain document version control and organised bid records.
- Help check submissions against customer requirements and flag missing information.
- Coordinate submission arrangements and support the timely upload of documents to procurement portals.
- Maintain a library of standard responses, case studies and supporting information.
- Support customer clarification responses, post-award handovers and improvements to the bid process.
What we’re looking for
Previous experience supporting bids, tenders, proposals or procurement activities would be beneficial, particularly within engineering, technology, maritime, defence or another regulated industry. Familiarity with tender portals, document-management systems or collaboration tools such as SharePoint, along with experience maintaining document libraries, trackers or version-controlled records, would also be advantageous. An awareness of UK Government, MOD or public-sector procurement and a relevant qualification in Business, Administration, Communications or a related discipline would be welcomed.
