Role Purpose
The Wholesale Assistant supports the International Wholesale Manager in the day-to-day operational and administrative management of the international wholesale business. This role is essential to ensure smooth execution across logistics, invoicing, CRM management and client support, allowing the Wholesale Manager to focus on commercial strategy and key accounts.
Key Responsibilities
- Sales Administration & Documentation
- Prepare and manage invoices, delivery notes and credit notes
- Ensure consistency between deliveries, billing and financial records
- Coordinate with the finance team regarding payments, discrepancies and credit notes
- Maintain accurate and well-organized wholesale documentation
- Shipping & Logistics Support
- Coordinate and monitor international shipments
- Act as a key point of contact with freight forwarders, warehouses and logistics partners
- Track deliveries and proactively resolve shipping issues or delays
- Prepare and manage shipping documentation (packing lists, AWB, BL and related documents)
- CRM & Data Management
- Manage and update the CRM system (Zedonk): Client accounts and contact details, Shipment, delivery and invoicing data
- Ensure data accuracy and consistency across systems
- Support ongoing optimization of CRM processes and reporting
- Wholesale Customer Support
- Act as an operational point of contact for international wholesale clients
- Respond to client requests related to deliveries, invoicing, returns and credit notes
- Coordinate internally to ensure timely and professional issue resolution
- Reporting & Commercial Support
- Prepare wholesale operational reports (shipments, deliveries, returns, invoicing)
- Support sell-in / sell-out tracking if needed
- Assist during markets, sales periods and showroom appointments when required
- Process & Team Support
- Contribute to continuous improvement of wholesale operational processes
- Support cross-functional collaboration with sales, finance and supply chain teams
- Help ensure clear communication across all wholesale stakeholders
Profile & Skills
- Experience
- Previous experience in a Wholesale Assistant, Sales Administration, Operations or Supply Chain role
- Experience within an international wholesale environment is a strong plus
- Technical Skills
- Experience using a CRM or ERP system (Zedonk is a strong advantage)
- Strong Excel / Google Sheets skill
- Solid understanding of wholesale operations, logistics and invoicing processes
- Languages
- Fluent English required
