This is an important administrative role within the nursery, supporting the management team and helping to ensure that our day-to-day operations, childcare funding, invoicing, documentation and internal systems are well organised, accurate and up to date.
The Nursery Administrator will be responsible for:
Preparing and managing nursery invoices, ensuring fees, payments and accounts are accurately recorded and kept up to date.
Managing the administrative side of childcare funding, including funding applications/claims, eligibility information, deadlines and related records.
Maintaining organised and up-to-date records and files for children, staff and the nursery, ensuring all required documentation is complete.
Monitoring staff training, maintaining records of completed training, renewal dates and required updates, and informing the management team when training needs to be renewed.
Managing and responding to administrative emails professionally and within appropriate timescales.
Responding to enquiries from prospective families and arranging nursery tours and show rounds.
Ensuring that all required forms, checklists and administrative documents are available and kept up to date.
Supporting the management team with the development, implementation and maintenance of internal systems and procedures.
Organising administrative systems relating to nursery activities and initiatives, including outings, Green Club and other events.
Preparing and maintaining activity and event schedules and calendars, ensuring staff have clear information regarding dates, responsibilities and procedures.
Liaising with external suppliers and service providers, including Red Wing, ADT and other companies used by the nursery, following up on services, visits, documentation and outstanding matters.
Providing general administrative support to the management team and contributing to the smooth and efficient running of the nursery.
The successful candidate will:
Have previous experience working in a nursery or within the Early Years sector.
Have fluent spoken and written English.
Have excellent organisational and administrative skills.
Be confident working with invoices, records, spreadsheets, emails and online systems.
Have excellent attention to detail and the ability to keep documentation accurate, organised and up to date.
Be able to prioritise tasks and manage multiple responsibilities effectively.
Be confident communicating professionally with parents, staff, local authorities, suppliers and external organisations.
Be proactive and able to identify when records, systems, training or documentation need to be updated.
Understand the importance of confidentiality and data protection when handling information relating to children, families and staff.
We are looking for someone who is responsible, organised, proactive and able to work independently, with a strong commitment to their responsibilities.
The successful candidate will play an important role in developing and maintaining efficient administrative systems and supporting the nursery management team.
Previous experience within the Early Years sector is essential , as this role requires an understanding of how a nursery operates and the administrative requirements involved in providing a high-quality childcare service.
