About the Role:

MARI is building one of the most exciting portfolios in live events and experiences — and this role sits right at the centre of it. As Executive Assistant to the SVP, Global Partnerships, you'll be the engine behind one of the company's most senior commercial leaders, keeping a high-velocity sales function running at its best. From orchestrating client meetings and events to driving follow-through on key deals and relationships, you'll work across teams — events, sales operations, design — and have a front-row seat to how global partnerships get built. This is a full-time position and qualified candidates must be based in the greater London area. You'll be part of a hybrid team that values both connection and flexibility.

What Success Looks Like:

  • Smooth running of the executive’s diary with timely and accurate follow up notes/actions shared post meetings
  • Strong working relationships built across the organisation
  • Seamless support and organisation of internal and client events as requested
  • Polished and professional communications with internal and external stakeholders

What You’ll Own:

  • Diary management including overseeing global travel arrangements, visa preparation and on the ground logistics.
  • Expense management
  • Coordinating multi-party meetings, global conference calls and videoconferences
  • Meeting organisation and preparation, minute taking and subsequent drafting/providing reminders of follow up notes/actions.
  • Conduct research, collect and analyse data to prepare reports and documents prior to meetings.
  • Monitor, screen, respond to and accurately route incoming communications
  • Act as a conduit with the event teams, sales operations and design teams helping to create sales collateral.
  • Support on all calls with note taking, creating draft email responses and proposals
  • Liaising directly with clients to help workflow and keep pace of communications
  • Work closely and effectively with the Senior Vice President to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
  • Assisting with Ad hoc Projects.
  • Event organization (primarily internal – off-sites, etc.)
  • Invitation management and client support at events.
  • Preparation of documents and presentations.
  • You may also be required to carry out any other duties, which are within the scope and purpose of the job.

What You Bring:

  • Previous EA experience for a role of similar scope.
  • Excellent organisational skills: able to prioritise and multi-task.
  • Strong IT skills – Word, Excel, PowerPoint, and Outlook.
  • Adept at juggling multiple tasks as well as having excellent forward planning skills, actively seeking opportunities and proposing solutions.
  • High level of attention to detail.
  • Commercially aware.
  • Complete self-starter who needs little oversight and can manage deadlines.
  • Credibility, integrity and excellent judgement.
  • Resilient to handle ever changing priorities and liaise at the highest level.
  • Very strong interpersonal skills; able to build strong relationships both internally with colleagues and externally with clients.
  • Flexibility to attend client events/meetings outside of working hours.
