Job Description

Our client is a market-leading UK manufacturer of fire & smoke protection systems, trusted by tier 1 contractors and developers.

A broad, hands‑on role at the centre of a fast‑growing, innovation‑led SME.

You will own the day‑to‑day running of the business: office administration, bookkeeping and financial reporting, HR and training, facilities, and internal IT including AI adoption - plus EA support to the Managing Director.

This will suit someone whose satisfaction comes from getting the best out of well‑paid, capable people rather than from personal achievement alone.

You will be responsible for efficient office operations, accurate financial and employee records, and making sure company systems operate effectively - including company accreditations (ISO, office health & safety), 3‑year rolling budget forecasting and resource planning, and accounts and financial reporting including variance root cause analysis.

KEY RESPONSIBILITIES

  • Administration & Office Management
  • Manage incoming and outgoing correspondence, telephone calls and emails
  • Maintain accurate company records, filing systems and documentation
  • Ensure all administrative tasks and paperwork are completed accurately and on time
  • Support customer service activities and maintain professional client relationships
  • Ensure compliance with company procedures and health & safety requirements
  • Carry out daily bookkeeping and accounts administration duties
  • Process daily banking and reconcile financial transactions
  • Maintain company accounts using cloud accounting software
  • Assist with payroll preparation and payroll administration
  • Monitor invoices, supplier payments and customer accounts
  • Maintain accurate financial records and support month‑end reporting
  • Liaise with accountants and external financial providers when required
  • HR & Staff Management
  • Maintain employee records, holiday records and HR documentation
  • Assist with recruitment, onboarding and induction of staff
  • Support staff scheduling, workload coordination and day‑to‑day supervision
  • Promote a positive, professional and productive working environment
  • Assist management with employee performance and staff development
  • Ensure company policies and procedures are communicated and followed
  • IT & Systems Management
  • Oversee the daily operation of company IT and business software
  • Provide first‑line support for internal IT issues and coordinate with external providers
  • Maintain user accounts, passwords and access permissions
  • Support the implementation and maintenance of digital systems and workflows
  • Assist in maintaining cloud‑based systems, shared drives and office technology
  • Ensure staff are using company software and systems effectively

Requirements

QUALIFICATIONS & EXPERIENCE

  • Minimum 5 years' experience in administration, office management, bookkeeping, HR support or a similar role
  • Good English, Maths and IT skills
  • Experience using cloud accounting software, payroll systems, CRM platforms or similar advantageous
  • Proficient in Microsoft Office and Google Workspace
