Purpose of the Role

The Executive Assistant to the Group CEO and CFO serves as a critical enabler of executive effectiveness at the highest level of the organisation. This role is far more than administrative support. It is a position of trust, judgment, and genuine influence over how two of Marcura’s most senior leaders spend their time, direct their attention, and represent the organisation internally and externally. The successful candidate will operate as a seamless extension of the Office of the CEO and CFO, anticipating needs before they arise, removing friction from day‑to‑day operations, and ensuring that both executives are consistently prepared, informed, and able to focus on the decisions and relationships that matter most.

Key Responsibilities

  • Diary and Schedule Management: Own and manage the Group CEO and Group CFO calendars with full autonomy, resolving conflicts proactively and ensuring time allocation reflects strategic priorities. Coordinate across multiple time zones and business units to schedule meetings, calls, and travel that involve internal and external stakeholders. Anticipate scheduling pressures in advance and implement solutions without requiring executive direction. Maintain a structured weekly and monthly rhythm for executive briefings, board preparation, and key operational touchpoints.
  • Communications and Correspondence: Manage and triage both executives’ inboxes, drafting responses, escalating urgent matters, and filtering noise to preserve executive focus. Draft, edit, and quality‑check correspondence on behalf of the CEO, ensuring tone, precision, and professional register are consistently maintained. Serve as a trusted point of contact for internal leaders, board members, investors, and external partners, representing both executives with discretion and professionalism. Ensure that no critical communication falls through the gaps and that both executives are aware of time‑sensitive matters in a timely manner.
  • Task Tracking and Executive Enablement: Maintain a live view of outstanding actions, commitments, and deliverables for both executives, following up proactively with relevant stakeholders to keep matters on track. Prepare concise briefing documents, pre‑read materials, and decision summaries ahead of key meetings and engagements. Manage the end‑to‑end logistics of executive travel, including itineraries, accommodation, visas, and on‑the‑ground coordination. Coordinate closely with the broader GHCD and Corporate Office teams to ensure alignment and information flow.
  • Presentation and Document Production: Produce high‑quality, visually compelling slide decks and written materials for board presentations, investor briefings, all‑hands communications, and strategic reviews. Translate complex ideas, data, and executive thinking into clear, polished output that reflects the calibre of the audience and occasion. Manage document version control, formatting standards, and brand consistency across all executive‑level materials.
  • AI Literacy and Operational Innovation: Leverage AI tools fluently and responsibly to increase productivity, improve output quality, and surface insights across communications, scheduling, and document production. Stay current with emerging AI‑powered productivity tools and proactively identify opportunities to apply them within the executive support function. Champion smart, tech‑enabled ways of working within the Corporate Office environment.
  • Confidentiality and Discretion: Treat all information encountered in this role, including personnel matters, commercial negotiations, financial data, board discussions, and strategic planning, as strictly confidential at all times. Exercise impeccable judgment about what information to share, with whom, and through what channels. Maintain absolute discretion in all internal and external interactions, including in social and informal settings.
  • Stakeholder Navigation: Build and maintain effective working relationships across Marcura’s global leadership team, board, and external partners. Navigate complex interpersonal dynamics and high‑maintenance stakeholders with composure, tact, and political intelligence. Act as a calm, reliable, and consistent presence in high‑pressure situations, de‑escalating where needed and ensuring both executives are protected from unnecessary friction.

Experience and Qualifications

  • Demonstrable experience as an Executive Assistant supporting C‑suite executives in a complex, global organisation.
  • A track record of operating with high autonomy and exceptional judgment in a fast‑paced environment.
  • Prior exposure to a maritime, technology, or professional services environment is advantageous but not essential.

Technical Skills

  • Advanced proficiency in Microsoft 365, including Outlook, PowerPoint, Word, Teams, and SharePoint.
