Marcilly Recruitment’s UHNW client is seeking a warm and professional Receptionist & Junior PA for their corporate family office in Mayfair. The family own the building with six floors, which also includes a couple of tenants. In addition to receptionist duties, the successful Receptionist & Junior PA will provide PA support to family members and high-level company executives when they are in London. This will be very full on when the family are in town. You will also assist the Office Manager of the building as and when necessary.
This role can be solitary as the family only use the office for about 12 weeks of the year. There are peaks and troughs, so it will suit a proactive, self-starter who is always happy to lend their support to any of the team members in London or internationally.
Salary: £35K-£41K
Benefits: pension, discretionary bonus; 22 days holiday + bank holidays, BUPA health insurance
Hours: 08:30 – 18:00 Monday to Friday – flexibility to 5/5:30pm when family & Execs not in town

Start date: ideally ASAP but happy to wait a notice period
Receptionist & Junior PA Responsibilities
- Make refreshments for visitors and the Chairman, CEO and Board and Exec team using ground floor meeting rooms when they are in the office
- Ad-hoc tasks such as printing and errands when required
- Assist the office manager and PAs on busy days
- Book and schedule trusted services such as Addison Lee, Belgrave’s Chauffeurs etc
- Liaise with hotels and car services for visiting AGM members
- Restaurant reservations and coordination
- Work with Office Manager on AGMs and Board Meeting coordination and catering, ordering and receiving food and drink deliveries
- Cover for the Office Manager when required
- Receiving post and distributing, handling couriers incoming and outgoing
- Keeping a record of all pick-ups and arrivals
- Answer the main reception phone calls
- Receive visitors and contractors, keeping a log and providing access to common areas services when required
- Access control cards are tracked/ issued/ barred from reception and training on the system will be provided
- Daily building patrol and inspection – checking cleaning standards and fire safety compliance are maintained
- Keep the reception area, meeting rooms, Chairman’s office and entrance tidy at all times
Receptionist & Junior PA Requirements
- Some experience working as a receptionist in an office environment or FOH in luxury hospitality
- Microsoft Office skills and strong Outlook knowledge
- A self-starter, able to think ahead, and be adaptable
- Professional and discreet
- The successful Receptionist & Junior PA will need excellent attention to detail, with both written work and office aesthetics. A good eye to ensure high standards maintained throughout
- The successful candidate must be friendly and approachable with excellent communication both written and spoken
- Comfortable in down times as the office can be very quiet at times, but then also the ability to work under pressure and react quickly to requests and needs in a calm way
