Executive Assistant / PA for UHNW Family Office in Belgravia, London.

Role: Family Office PA

Location: Belgravia, London (office based 4 days per week, 1 day WFH, with some flex for more once settled)

Salary: £60,000 – £80,000 DOE

Benefits: generous annual discretionary bonus; medical insurance; enhanced pension; 25 days holiday; gifting and some travel

Hours: Monday to Friday, 09:00 – 18:00 (some flexibility on timings to suit schedules)

Start Date: ASAP – maximum 1 month notice period

Contract: Full-time, permanent

The successful Family Office PA must have experience working in an UHNW family office or with an UHNW entrepreneur.

Family Office PA Responsibilities:

  • Support the Chief of Staff in managing the principal's diary, coordinating meetings and travel logistics across multiple businesses and family office interests.
  • Help prepare briefing materials, meeting packs, and background research for the principal.
  • Assist with inbox management, drafting routine correspondence, and tracking responses.
  • Manage a heavy, constant flow of communication from the principal, creating trackers and keeping all work streams up to date.
  • Coordinate logistics for meetings, both business and personal, including board meetings, investor calls, and business reviews.
  • Plan, research and manage complex travel, both private charter and commercial, visas, accommodation, detailed itineraries.
  • Provide proactive administrative support across constantly shifting priorities.
  • High-level event management and hospitality, from inception through to completion.
  • Track actions, deadlines, and follow-ups across the principal's portfolio, flagging and actioning items as needed.
  • Liaise with internal teams and external stakeholders to ensure smooth coordination and timely communication.
  • Assist with preparation and follow-up for key meetings.
  • Support special projects as required.
  • Liaise with the art team and maintain strict records and logistics.
  • Support the family office team with high-value asset management.
  • Manage expenses, budgets, and financial tracking.
  • Support the principal with anything and everything as required on the personal side to ensure his private life runs smoothly.
  • Work with the wider team to prepare properties ahead of the principal’s arrival.
  • Manage all health and wellness, medical and lifestyle appointments.
  • Act as a true right hand to the Chief of Staff.
  • Handle all information with absolute discretion and professionalism.

The Ideal Family Office PA Candidate:

  • A mid-level Executive Assistant / Private PA who has worked in a genuinely fast-paced environment managing busy workloads with constantly changing priorities.
  • The ideal Executive Assistant does not need to have worked as an EA before as long as they have transferrable administrative and operational skills like events, luxury travel or concierge.
  • Must have at least 3-4 years working in an office environment with strong MS skills and a good grasp of systems and processes.
  • Highly organised, with the ability to stay on top of multiple work streams without letting anything drop.
  • Comfortable and happy with detailed, day-to-day administration as well as more exciting project work.
  • Adaptable and not tied to a rigid job description — this Executive Assistant role rewards initiative.
  • Discreet, professional, and understands the demands of working at this level.
  • Comfortable with reasonable out-of-hours communication (largely via WhatsApp) and able to judge what can wait until morning.
