The principal splits his time internationally, and his standalone private office manages the full breadth of his business and personal interests — spanning finance, lifestyle support, private staffing, travel, fine art, jewellery, and his privately owned businesses. The pace is fast, the workload varied, and no two days will look the same. This Executive Assistant position will suit someone who is genuinely happy to roll their sleeves up: alongside exciting projects, there is plenty of detailed administration, from expense tracking and record keeping to creating and maintaining trackers across all work streams.
As the role is newly created, the successful Executive Assistant / Private PA will have real scope to carve it out and make it their own, working closely with the Chief of Staff to build a well‑oiled machine together.
Executive Assistant Responsibilities- Support the Chief of Staff in managing the principal's diary, coordinating meetings and travel logistics across multiple businesses and family office interests.
- Help prepare briefing materials, meeting packs, and background research for the principal.
- Assist with inbox management, drafting routine correspondence, and tracking responses.
- Manage a heavy, constant flow of communication from the principal, creating trackers and keeping all work streams up to date.
- Coordinate logistics for meetings, both business and personal, including board meetings, investor calls, and business reviews.
- Plan, research and manage complex travel, both private charter and commercial, visas, accommodation, detailed itineraries.
- Provide proactive administrative support across constantly shifting priorities.
- High‑level event management and hospitality, from inception through to completion.
- Track actions, deadlines, and follow‑ups across the principal's portfolio, flagging and actioning items as needed.
- Liaise with internal teams and external stakeholders to ensure smooth coordination and timely communication.
- Assist with preparation and follow‑up for key meetings.
- Support special projects as required.
- Liaise with the art team and maintain strict records and logistics.
- Support the family office team with high‑value asset management.
- Manage expenses, budgets, and financial tracking.
- Support the principal with anything and everything as required on the personal side to ensure his private life runs smoothly.
