Marcilly Recruitment's client, a growing private equity firm in Mayfair, is seeking an EA & Office Manager to join their high-calibre, non-hierarchical team. This is an amazing opportunity to join highly regarded figures in the industry whilst the firm is still in its early stages. There will be long-term career growth within the investment firm, working across their operations and administrative function in an entrepreneurial environment with a dynamic team.

EA & Office Manager Benefits:

  • Salary: £45K - £65K
  • Benefits: generous discretionary bonus; pension; healthcare; profit share scheme; company ski trip; life assurance; 25 days holiday
  • Hours: 09:00 – 18:00
  • Location: Mayfair – five days a week with occasional flex if needed
  • Start date: ideally ASAP but happy to wait a notice period

EA & Office Manager duties will include but are not limited to:

  • Day-to-day diary management for the CFO and senior members of the investment team
  • Setup external meetings, along with meeting room preparation
  • Provide secretarial support to a range of committee meetings, including diarising them, coordinating attendance, booking rooms, arranging room set-ups, arranging refreshments as required
  • Event planning - both internal and external, including international client events and travel
  • Coordinating international travel, creating itineraries, booking hotels, flights and visa applications
  • Expenses and finance management
  • Print, compile and prepare materials in advance of all meetings
  • Working with facilities in order to ensure the office is well looked after
  • Supporting the CFO in office projects
  • Assisting in company marketing materials, company newsletter and social media
  • Client gifting and marketing initiatives
  • CRM management
  • Helping to manage the operations of the firm such as HR admin, systems and processes, hiring, technology
  • Preparing board packs and investment packs
  • Support with office management and meeting and greeting visitors
  • Investor relations support
  • Team support when needed

EA & Office Manager requirements:

  • 2-5 years of professional experience, with at least two years working in finance or property investment
  • Experience of working as a Team / Personal or Executive Assistant or Office Manager before
  • The ability to follow instructions carefully and provide clear, confident communication both internally and externally
  • Proactive, able to organise and prioritise a varied workload, and meet deadlines
  • Calm under pressure
  • Exceptional attention to detail whilst always maintaining the highest standards
  • Able to work with a high degree of autonomy and independence
  • Be flexible and able to undertake additional or alternative tasks and duties
  • Be able to maintain the highest degree of confidentiality and discretion
  • Highly proficient in Microsoft Office
  • Desire to work in a collegiate and dynamic team, to be a true team player
  • Extremely resourceful, resilient and adaptable
  • Strong educational background with a degree or strong A levels highly desirable

The successful EA & Office Manager must have 1-2 years of experience working within financial services, real estate investment, ideally private equity.
