We are seeking a dynamic Executive Assistant with a high level of professionalism, organizational skills, and desire to work in a fast-paced, performance-driven environment. This person will provide primary administrative support and coordination for the Chief Information Officer (CIO) and IT Executive Leadership team.

Position Overview: This is a 12+ month contract position, working remotely with occasional onsite presence required (1-2 days per month). The work schedule is Monday through Friday, 9:00 AM to 5:00 PM.

Key Responsibilities:

  • Provide proactive executive-level administrative support, anticipating needs before being asked.
  • Complete projects and special assignments by establishing objectives, determining priorities, and managing multiple stakeholders.
  • Conduct research, collect and analyze data to prepare executive reports and presentations.
  • Create and maintain complex charts, graphs, and data visualizations.
  • Coordinate executive meetings including agenda preparation, correspondence, presentations, and all follow-up activities.
  • Provide calendar management support for C-level executives.
  • Attend meetings to record decisions and action items, manage meeting materials.
  • Send friendly reminders for overdue action items and manage follow-ups.
  • Coordinate off-site executive meetings and events as necessary.
  • Manage office supply ordering and facility-related requests.
  • Handle confidential documents and correspondence with discretion.
  • Provide courteous and efficient support to all IT team members.

Required Qualifications:

  • Expert-level proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Visio).
  • Advanced PowerPoint skills for executive-level presentations.
  • Strong Visio skills for creating process flows and organizational charts.
  • Excellent written and verbal communication skills.
  • Proven ability to work independently with minimal supervision.
  • Experience supporting C-level executives in a fast-paced environment.
  • Strong organizational and planning skills with attention to detail.
  • Ability to multitask and prioritize competing deadlines.
