The Opportunity

We are seeking an organized, personable, and proactive Admissions Assistant to join our busy external relations team. This role is the "face" of the school for prospective families, acting as the primary point of contact from the initial inquiry through to a student’s first day on campus.
The Role & Department
You will work within a collaborative Admissions and Marketing suite, reporting directly to the Registrar or Director of Admissions. The department is the central hub for the school’s growth, managing domestic and international recruitment cycles, bursary applications, and scholarship days. You will use advanced school management systems (such as iSAMS, SIMS, or HubSpot) to track the "customer journey," ensuring that every prospective family receives a bespoke and professional experience. The role involves significant interaction with the Senior Leadership Team, assisting with the logistical planning of major events like Open Mornings and Taster Days.
Core Responsibilities
- Inquiry Management: Responding promptly and warmly to all telephone and email inquiries, providing detailed information about the school’s ethos, curriculum, and entry requirements.
- Data Coordination: Maintaining the accuracy of the admissions database, ensuring all applicant records are up-to-date and compliant with GDPR and safeguarding regulations.
- Event Logistics: Assisting in the coordination of Open Days, entrance examinations, and interview schedules, including the preparation of welcome packs and signage.
- Tour Leading: Conducting professional and engaging tours of the school site for prospective parents, highlighting the school’s facilities and community atmosphere.
- International Liaison: Supporting the visa application process (where applicable) and coordinating with international educational agents to facilitate overseas enrolments.
The Successful Candidate
We are looking for an administrative expert with the "soft skills" required to build immediate rapport with families. Requirements include:
- Experience: Previous experience in a school admissions role or a high-end customer service/sales environment is highly desirable.
- Communication: Exceptional written and verbal communication skills, with the ability to adapt your tone for diverse audiences.
- Tech Savvy: Proficiency in Microsoft Office Suite and experience with CRM (Customer Relationship Management) databases.
