A well-established and welcoming independent school in Westminster is seeking a highly organised and proactive Office Administrator to join its administrative team. This is a varied and rewarding role, combining front-of-house reception duties with wider administrative responsibilities to support the smooth day-to-day running of the school.

Working closely with the Office Manager and wider staff team, the successful candidate will play a key role in ensuring excellent communication with parents, staff, and visitors, while maintaining high standards of organisation, safeguarding, and professionalism.

Key Responsibilities
  • Manage the main school reception, acting as the first point of contact for visitors, parents, and pupils.
  • Answer telephone and email enquiries in a professional and timely manner.
  • Coordinate incoming and outgoing post and general communications.
  • Monitor pupil attendance, update school systems, and follow up on absences.
  • Ensure safeguarding procedures are followed, including visitor sign-in and site security.
  • Support the Office Manager and wider team with general administrative tasks.
  • Maintain accurate pupil records using school systems (e.g. SIMS, ParentMail, Arbor).
  • Assist with school communications, including parent correspondence.
  • Support the organisation of internal events and school activities.
  • Manage registers, attendance reporting, and daily administrative processes.
  • Provide first aid support where required and maintain accurate records.
  • Manage pupil medication and communicate with parents regarding welfare needs.
  • Support the onboarding of new pupils, including admissions processes and data management.
  • Liaise with parents and external agencies regarding pupil information and transitions.
  • Maintain accurate and up-to-date records for safeguarding, medical, and attendance purposes.
  • Assist with after-school clubs and extracurricular administration.
  • Support school-wide processes such as census returns and data updates.
  • Contribute to the wider life of the school and attend relevant training and development.
Person SpecificationEssential
  • Previous experience in an administrative or receptionist role (ideally within a school setting).
  • Strong organisational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proactive, flexible, and able to manage a varied workload.
  • Confident ICT skills, including Microsoft Office.
Desirable
  • Experience using school systems such as SIMS, Arbor or ParentMail.
  • Understanding of school administration processes and safeguarding procedures.
