A welcoming and well-organised primary school in Stoke-on-Trent is seeking a proactive and highly organised Attendance & Admissions Officer to join its school office team on a full-time, permanent basis.

This role combines two important areas of school administration: ensuring attendance information is accurate and followed up effectively, while also supporting the smooth administration of pupil admissions. The successful candidate will work closely with families, school leaders and administrative colleagues and will become an important point of contact for parents and carers.

Alongside attendance, you will support the school office with admissions processes, ensuring pupil records are accurate and families receive clear information.

Office and Admissions Team

The successful candidate will work within the wider school administration team and will communicate regularly with senior leaders, teachers and families.

You will need to manage confidential information carefully and maintain accurate records. The role will involve balancing routine administrative tasks with situations that require tact, judgement and professional communication.

Key Responsibilities

  • Monitor daily pupil attendance.

  • Check attendance registers for accuracy.

  • Follow up unexplained absences promptly.

  • Contact parents and carers regarding attendance concerns.

  • Maintain accurate attendance records.

  • Record communication and actions taken.

  • Identify patterns of absence and raise concerns with appropriate staff.

  • Support the school’s attendance procedures.

  • Prepare attendance information and reports.

  • Work with senior leaders regarding persistent absence.

  • Communicate professionally with families.

  • Support attendance meetings and interventions.

  • Maintain confidentiality when dealing with pupil information.

  • Assist with pupil admissions and registration processes.

  • Maintain accurate admissions records.

  • Support new families through the admissions process.

  • Process relevant documentation.

  • Ensure pupil information is updated appropriately.

  • Liaise with parents regarding admission arrangements.

  • Support the school office with general administration.

  • Respond to telephone and email enquiries.

  • Maintain professional records.

  • Assist with pupil transfers and leavers where required.

  • Work collaboratively with teaching and administrative staff.

  • Support the smooth running of the school office.

Experience and Requirements

Previous experience in school administration, attendance, admissions, customer service or a similar administrative environment would be highly desirable.

The successful candidate should have excellent organisational skills and be comfortable communicating with a wide range of people.
