Stevenage is a pioneering town of technological and scientific innovation, globally recognized as a premier hub for the UK’s aerospace engineering, pharmaceutical research, and biotechnology industries. We are seeking a highly organized, detail-oriented Administrative Assistant to join a dynamic academy. In this vital operational role, you will act as a central engine of the school's daily operations, ensuring that communication flows flawlessly, data is managed with absolute precision, and the administrative infrastructure robustly supports our teaching faculty and leadership team.

The School

Operating as an independent academy within a forward-thinking multi-academy trust, our school combines innovative educational practice with robust operational support. We benefit from centralized administrative networks, freeing our frontline staff to focus entirely on maintaining an exceptional operational environment. We implement explicit, highly consistent, school-wide behaviour routines that keep our campus quiet, respectful, and orderly. This structured environment ensures that our main office remains a calm and highly productive workspace where support staff are valued, respected, and fully integrated into the school's long-term success.

The Administrative Team & Operational Culture

You will join a highly successful, collaborative, and warm Main Office team where efficiency, professional discretion, and meticulous accuracy are celebrated. The department operates within a contemporary, well-resourced administrative hub equipped with modern school information management systems (MIS) and advanced digital communication tools. Our office structure explicitly prioritizes a streamlined workflow, ensuring that daily tasks are distributed equitably and administrative bottlenecks are minimized. Staff benefit from shared operational protocols and standard operating procedures, allowing the team to deliver exceptional service to parents, visitors, and staff while maintaining a sustainable individual workload.

Core Responsibilities

  • Front-of-House Excellence: Acting as a professional first point of contact for the school, welcoming visitors, managing incoming telephone inquiries, and directing traffic with warmth and clarity.
  • Data & Systems Management: Utilizing the school's internal Management Information System (MIS) to maintain accurate, up-to-date records for student attendance, admissions, or general profiling.
  • Written Communication: Drafting, formatting, and proofreading high-quality correspondence, newsletters, and operational documents for parents, governors, and external stakeholders with absolute grammatical precision.
  • Reprographics & Resource Support: Managing the centralized filing systems, sorting mail, and assisting with the printing and collation of vital academic and resource packs for teaching staff.
  • Operational Compliance: Assisting the School Business Manager with essential administrative compliance checks, safeguarding sign-ins, and maintaining a highly organized office environment.

The Successful Candidate

We are looking for a proactive, highly capable professional who loves organization and possesses the communication skills to thrive in a fast-paced environment. Your profile should include:

  • Proven Administrative Experience: Strong previous experience working in a busy office or administrative environment, preferably within an educational setting (though corporate backgrounds with transferable skills are highly valued).
  • Technical Proficiency: Exceptional ICT skills, including advanced familiarity with Microsoft Office (Word, Excel) and a clear capacity to quickly master school-specific software and database systems.
  • Exceptional Interpersonal Skills: A calm, professional, and empathetic demeanour when communicating with students, parents, staff, and external multi-agency partners.
  • Meticulous Eye for Detail: The ability to prioritize a varied workload independently, multi-task effectively under tight deadlines, and maintain strict confidentiality at all times.

Why Join Our Support Staff?

  • The distinct satisfaction of working within an academy setting where your daily operational input directly impacts the safety, smooth running, and atmosphere of the whole school community.
  • Comprehensive internal induction and continuous professional development (CPD) focusing on specialized school administrative systems, safeguarding protocols, and operational management.
  • The exceptional lifestyle benefits of living and working in Stevenage—offering a superb blend of modern town amenities, highly affordable housing, historic old-town charm, and unrivalled rail connectivity straight into central London and Cambridge.
