Working Hours: 8:00am – 4:00pm, 37 hours per week (Monday - Friday)

Working Weeks: 41 weeks per year (38 weeks term time + 5 INSET days + 10 additional days)

Reporting To: Senior Leadership Team member with responsibility for data

Key Responsibility: Management and oversight of school data systems and reporting.

Role Purpose: The Data Officer is responsible for maintaining and managing the school’s data management systems to support the effective operation of academic and administrative processes. The role ensures that student data is accurate, secure, and used effectively to support school improvement, reporting, and statutory returns. The post holder will contribute positively to the ethos, aims, and wider work of the school.

Data Officer - Key Responsibilities:

  • Data Management: Maintain and oversee the school’s Management Information Systems (MIS), including SIMS and Go4Schools. Ensure the accurate completion and submission of statutory student census returns in October, January, and May. Maintain accurate student records within SIMS and related systems. Monitor and manage student data relating to achievement, behaviour, and attendance.
  • Data Reporting and Analysis: Produce and analyse pupil performance data to support school improvement processes. Generate reports for senior leaders and staff as required. Support the school’s data review cycle through the provision of accurate reports and analysis. Assist with setting student targets within Go4Schools and importing data from systems such as FFT (Fischer Family Trust) and other benchmarking sources.
  • Timetable and Systems Administration: Support the maintenance of the school timetable, including staff and student timetable changes throughout the year. Ensure all staff and students have correct timetables at the start of the academic year. Maintain Course Manager within SIMS and support related systems including Nova T, Options, Cover, Exams Organiser, and Admissions.
  • Reporting Processes: Manage the administration of pupil reporting procedures. Design and maintain report templates. Coordinate report production including data entry deadlines and report distribution. Produce full reports, interim reports, and end-of-key-stage reports.
  • System Administration: Maintain staff user accounts within SIMS and Go4Schools. Provide guidance or training to staff on the use of SIMS and Go4Schools where required. Oversee markbooks and assessment data within Go4Schools.
  • Statutory Returns and Academic Processes: Manage Key Stage 4 and Key Stage 5 Department for Education (DfE) checking exercises. Administer academic and pastoral promotion processes at the end of the academic year. Manage start-of-year and end-of-year processes within SIMS and Go4Schools.
  • Additional Responsibilities: Attend staff training (INSET) and relevant meetings. Provide support to the examinations team during busy exam periods where required. Assist with the planning and organisation of school open evenings. Support examination invigilation if required. Carry out additional duties as directed by the Headteacher, School Business Manager, or Senior Leadership Team.

Person Specification:

  • Experience: Experience working in a school environment. Experience of accurate data entry and management. Experience using SIMS and Go4Schools (or a similar system).
  • Knowledge, Skills and Abilities: Excellent organisational and time management skills. Strong written and verbal communication skills. Ability to prioritise and manage multiple tasks. High attention to detail and accuracy. Experience managing and analysing data using spreadsheet software. Knowledge of MIS databases. Ability to work flexibly and respond to changing priorities. Strong problem-solving skills. Ability to meet deadlines and work to targets.
