An established secondary school in Sheffield is seeking an experienced School Administrator to support its administration and reception team. This role would suit someone who is used to working in a busy school environment and can confidently manage routine administration alongside unexpected requests. Accuracy is important, as you will be dealing with pupil information, correspondence and confidential records on a daily basis.

Key Responsibilities

  • Administration
    • Provide administrative support across the school.
    • Maintain accurate pupil records and documentation.
    • Update the school's MIS/database.
    • Prepare letters, forms, reports and correspondence.
    • Maintain filing and electronic record systems.
    • Support staff and senior leaders with administrative tasks.
    • Assist with meetings, calendars and appointments.
  • Reception
    • Provide professional reception support.
    • Welcome parents, visitors and external professionals.
    • Answer telephone calls and deal with enquiries.
    • Monitor and respond to incoming emails.
    • Follow school procedures for visitors and safeguarding.
  • Records & Data
    • Complete accurate data entry.
    • Maintain spreadsheets and administrative trackers.
    • Assist with reports and information requests.
    • Check records for accuracy and completeness.
    • Maintain confidentiality when handling sensitive information.

Essential Skills & Experience

  • Proven school administration experience.
  • Experience working with a school MIS/database.
  • Good knowledge of Microsoft Office, including Excel.
  • Strong written and verbal communication skills.
  • Excellent attention to detail.
  • Strong organisation and time management.
  • Ability to prioritise work in a busy environment.
  • Ability to work independently and use initiative.
  • Professional communication skills with parents, staff and visitors.
  • Understanding of safeguarding, confidentiality and data protection.
  • Experience with Arbor or another recognised school MIS would be advantageous.
