A well-established and inclusive state secondary school in Oxford is seeking an experienced and proactive Facilities Manager to oversee the effective management of the school site. This is a key role responsible for ensuring the safety, compliance, and smooth day-to-day operation of the school’s buildings and grounds.
Working closely with the Senior Leadership Team and Business Manager, the successful candidate will lead on site management, health and safety compliance, contractor coordination, and maintenance planning, ensuring a safe and well-maintained learning environment for students and staff.
Key Responsibilities- Site & Facilities Management
- Oversee the daily operation, maintenance, and security of the school site and grounds
- Conduct regular site inspections to ensure cleanliness, safety, and compliance
- Manage site staff, including caretakers and cleaners, ensuring high standards are maintained
- Coordinate planned preventative maintenance (PPM) and reactive maintenance works
- Ensure effective operation of all building systems including heating, lighting, water, and security
- Health & Safety & Compliance
- Lead on health and safety across the school, ensuring compliance with all statutory regulations
- Maintain and update risk assessments, policies, and compliance documentation
- Oversee fire safety procedures including drills, alarm testing, and evacuation processes
- Ensure compliance with safeguarding procedures related to site security and visitor access
- Monitor statutory testing (e.g. legionella, emergency lighting, fire alarms, asbestos management)
- Contractor & Project Management
- Manage external contractors, ensuring all required documentation (RAMS, DBS, PPE) is in place
- Oversee site works and projects, ensuring they are delivered on time and within budget
- Support procurement processes, including tendering and contract management
- Liaise with external agencies and service providers as required
- Administration & Systems
- Maintain accurate records of maintenance, compliance checks, and site documentation
- Use school systems and compliance software to manage site operations and reporting
- Support budget monitoring related to site and facilities expenditure
- Ensure all documentation is audit-ready and meets regulatory requirements
- Additional Duties
- Support school events, lettings, and out-of-hours activities as required
- Assist with emergency response and incident management
- Contribute to the wider life of the school and participate in relevant training
- Essential
- Previous experience in facilities or site management (ideally within a school or public sector setting)
- Strong knowledge of health and safety regulations and statutory compliance
- Experience managing contractors and maintenance programmes
- Excellent organisational and problem-solving skills
- Strong communication skills and ability to work with a range of stakeholders
- Desirable
- Experience in a secondary school environment
- Knowledge of compliance systems (e.g. Smartlog or similar)
- Health & Safety qualification (e.g. IOSH or NEBOSH)
- Proactive, reliable, and highly organised
- Strong leadership skills with the ability to manage and motivate a team
- Calm under pressure with the ability to prioritise effectively
- Professional and approachable manner
- Commitment to maintaining a safe and high-quality learning environment
Monday to Friday (shift patterns may apply). Full-time, all year round (with flexibility for out-of-hours requirements).
