We are seeking an organized, personable, and proactive Admin Assistant to provide comprehensive administrative support across our busy school office. Working closely with the Office Manager, Senior Leadership Team, and teaching staff, the successful candidate will handle daily pupil and parent communications, maintain student databases, manage front-of-house reception duties, and ensure administrative operations run smoothly every day.

This energetic secondary school serves a diverse community of over 900 pupils, combining high academic aspirations with a warm, inclusive ethos. The school office functions as the welcoming heart of the campus, utilizing cloud-based management systems and digital communication channels to deliver efficient, friendly, and professional support to pupils, staff, and visitors.
Key Tasks & Daily Operations
- Front of House & Customer Service: Welcome visitors, manage telephone inquiries, respond to general email correspondence, and act as a helpful point of contact for parents and carers.
- Student Data & Attendance Management: Update pupil records, process daily attendance data on the Management Information System (MIS), log absences, and generate attendance reports.
- General Administrative Support: Assist with typing correspondence, preparing newsletters, filing records, ordering stationery, and distributing incoming/outgoing mail.
- School Event & Communications Coordination: Help prepare materials for open evenings, parent consultations, and school trips, coordinating parent consent forms and booking details.
- Reproduction & Document Preparation: Manage central printing, photocopying, and document preparation for teaching staff and departmental teams.
Profile Requirements
- Qualifications: NVQ Level 2/3 in Business Administration, Customer Service, or equivalent qualification/experience. GCSE Grade 4/C or above in English and Mathematics.
- Experience: Proven experience in an administrative, receptionist, or customer-facing support role—ideally within a school, college, local authority, or fast-paced office environment.
- Skills: Excellent verbal and written communication skills, strong proficiency with IT systems (MS Office, Google Workspace, and school MIS systems like SIMS, Arbor, or Bromcom), and strong multi-tasking abilities under pressure.
